IT Procurement and Asset Coordinator

Job Summary:

The IT Asset & Procurement Specialist is responsible for managing the procurement, valuation, and disposition of the company’s IT assets. This role involves handling budget responsibilities, processing invoices, and tracking costs. The specialist will manage IT contracts, oversee equipment ordering and delivery, and ensure effective mobile device management. Additionally, they will develop processes and procedures to support asset management, maintain vendor relationships, and manage the entire lifecycle of IT equipment. Strong communication skills, a solid understanding of IT operations, and experience with asset tracking systems are essential for this role.

Essential Job Duties:

Budget Responsibility:

Receipt and timely processing of all IT-related invoices. Tracking invoices according to the budget. Monthly reporting of invoices not received/past due. Execute routine and complex work requests such as bulk orders and non-standard equipment requests associated with hardware and software assets. Tracking of cost centers and terminations for: Cellular Phones Copiers Phone Vendors (Cellular and VOIP) Laptops

Contract Management for all IT Contracts:

Upload contracts to legal for review. Upload completed contracts in SNOW. Track contract expiration and notify of upcoming expirations at 30, 60, and 90 days. Assist with bids (RFPs) and making device decisions for the company.

Equipment Ordering and Delivery Tracking:

Laptops Desktops Tablets Peripherals Cellular Devices Copiers Hot Spots UPS Cradle Points Meraki Software as assigned (e.g., Microsoft Licenses, Adobe)

Mobile Device Management:

Manage lines and users. Suspend lines with no usage for 30 days and terminate if not used for 90 days.

Development of Processes and Procedures:

Develop processes and procedures to ensure success in the role. Work with Procurement to build Coupa processes to support the Equipment Catalog.

Vendor Relationship Management:

Manage relationships with vendors related to asset management and invoices, including: Microsoft SHI Adobe DocuSign Amazon via COUPA – Procurement Team Advantage CG Granite and various ISPs (CrownCastle, Optimum, Spectrum) T-Mobile CBS Leaf Altitude Unlimited Cisco CoreBTS

Equipment Life Cycle Asset Management:

Keep records and create reports related to assets. Facilitate repairs and retirement of property. Conduct forensics to locate missing equipment and negotiate its return with team members. Accurately document instances of moves, changes, installation, and removal.

Qualifications:

Responsible for the management, procurement, valuation, and disposition of the company’s property. Proven understanding of IT operations. Ability to understand strategic business objectives and asset management’s relevance to business value, compliance, and optimization demands. Proven ability to communicate with all levels of technical and management staff. Experience handling billing and invoices preferred. Experience with Microsoft Office suite required. Familiarity with Jamf, Intune, and related asset tracking systems like ServiceNow, Manage Engine and Reftab.
