**Job Summary**
We are seeking a Mid-Level IT Procurement & Finance Operations Specialist to oversee IT procurement activities and support broader IT finance operations. This role is responsible for ensuring accuracy, compliance, and efficiency across purchasing, vendor management, and financial processes, while maintaining clear documentation and strong alignment with IT, Finance, and the accounting team.
This is a remote position and will follow U.S. East Coast hours (night shift, PH time).
**Responsibilities & Qualifications**
**Key Responsibilities:**
+ Take ownership of the full procurement lifecycle for IT, including evaluating invoices, creating POs, and ensuring all necessary approvals are obtained.
+ Ensure invoices are accurately coded, matched against POs, and fulfilled on time.
+ Maintain complete and current vendor contracts, agreements, and supporting documentation in FreshService.
+ Serve as the primary point of contact with vendors to manage orders, invoices, renewals, and issue resolutions.
+ Lead GL review activities in Deltek Vision to verify transactions are properly booked and allocated between companies.
+ Own the documentation of procurement processes, keeping them updated and ensuring others are trained and consistently follow procedures.
+ Proactively monitor procurement activity, track key metrics (open POs, pending payments, contract expirations), and report status to IT leadership.
+ Partner with IT, Finance, and Accounting teams to resolve discrepancies, drive process improvements, and ensure compliance with company policies and audit requirements.
**Qualifications:**
+ 3+ years of experience in procurement, finance operations, or a related role with demonstrated ownership of processes.
+ Strong understanding of core accounting concepts, including expense coding, allocations, accruals, and reconciliations.
+ Proven ability to manage end-to-end procurement processes, including vendor communication, contract management, purchase order creation, and invoice validation.
+ Experience working with FreshService (procurement) and/or Deltek Vision (ERP) is a strong plus.
+ Strong proficiency in Microsoft Excel, including pivot tables, advanced formulas, and data analysis. The candidate should be able to create clear, accurate reports and use Excel to support procurement decision-making and process efficiency.
+ Excellent organizational skills with the ability to manage multiple priorities and meet deadlines independently.
+ Clear and confident communicator, able to collaborate effectively across IT, Finance, Accounting, and with external vendors.
+ Process-oriented mindset with the ability to document, improve, and ensure adherence to standard procedures.
+ Comfortable working in a shared services environment and supporting multiple business units.
