IT Project Management Office (PMO)

Reporting to the IT Director, this role is responsible for overseeing the IT Project Management Office (PMO) to ensure effective governance, standardization, and execution of projects across the organization. This role drives project portfolio management, aligning initiatives with strategic goals while optimizing resources, budgets, and timelines. The PMO Manager provides leadership, best practices, and methodologies to enhance project delivery and operational efficiency. Additionally, they act as a key liaison between stakeholders, ensuring transparency, risk mitigation, and continuous improvement in project management processes.

 

PRIMARY JOB RESPONSIBILITIES:

Develop and enforce project management methodologies, frameworks, and best practices. Establish standardized processes, tools, and templates to ensure consistency across IT projects. Ensure compliance with organizational policies, industry standards, and regulatory requirements. Oversee the IT project portfolio, ensuring alignment with business goals and strategic priorities. Define and manage project selection, prioritization, and approval processes. Monitor project budgets, timelines, risks, and resources to ensure successful delivery. Act as a key liaison between IT, business units, and senior leadership to ensure alignment on project objectives. Provide clear and timely project status reporting, including risks, dependencies, and key milestones. Facilitate executive decision-making by providing insights and data-driven recommendations. Collaborate with external vendors, contractors, and service providers to ensure project deliverables meet contractual agreements, service level expectations, and business objectives. Optimize resource allocation and capacity planning to maximize efficiency and minimize bottlenecks. Support IT project managers in resolving challenges and improving project execution. Conduct performance reviews of projects, identifying lessons learned and opportunities for continuous improvement. Risk Management & Continuous Improvement Identify, assess, and mitigate project and program risks proactively. Establish mechanisms for tracking and reporting issues, dependencies, and change management activities. Promote a culture of continuous improvement by implementing feedback loops and refining project processes.

 

EDUCATION & EXPERIENCE REQUIREMENTS:

Bachelor’s degree from an accredited university and relevant experience 5-10 years of experience in IT project/program management, with at least 3+ years in a leadership or PMO role. Proven experience managing complex IT project portfolios, budgets, and resource allocation. Project Management Professional (PMP) or Program Management Professional (PgMP). Certified Scrum Master (CSM) or SAFe Agilist (SA) for Agile environments preferred. ITIL Foundation or other IT Service Management (ITSM) certifications preferred. Strong knowledge of project management frameworks (Waterfall, Agile, Hybrid). Proficiency in project management tools (JIRA, Microsoft Project, ServiceNow, Smartsheet, or similar). Excellent stakeholder management and the ability to influence senior executives. Strong analytical, problem-solving, and decision-making skills. Exceptional communication and presentation abilities. Ability to lead, mentor, and develop project managers and cross-functional teams. Adaptability in a fast-paced, changing technology environment. Willingness and ability to travel occasionally as required. Must be able to work both remotely and on-site as required, with a flexible schedule that includes in-office presence based on business needs Experience with ERP systems such as Viewpoint Vista preferred Experience in the construction industry preferred
