IT Support Operational Lead (m/f/d)
This is a Part-Time position **PURPOSE AND SCOPE** The IT Department Coordinator is a pivotal role responsible for overseeing the administrative functions, project coordination, resource management, and fostering effective communication within Bad Homburg Campus DTI Team. This position requires a blend of administrative skills, project coordination abilities, and a strong understanding of operations to ensure the smooth functioning of the department and successful execution of initiatives. **PRINCIPAL DUTIES AND RESPONSIBILITIES:** + Support Head of IT Bad Homburg Campus in preparing reports, presentations, and project documentation for both internal and external meetings. + Maintain confidentiality of sensitive departmental information and handle confidential matters with discretion. + Assist in planning, organizing, and tracking various IT projects from initiation to completion. + Coordinate project timelines, tasks, and resources by liaising with team members, ensuring alignment with project goals and deadlines. + Monitor project progress, identify potential risks or issues, and facilitate resolution or escalation as necessary. + Maintain accurate records of IT assets, track inventory levels, and manage equipment procurement processes in coordination with relevant stakeholders. + Foster a collaborative work environment within the IT department by organizing regular team meetings, preparing meeting agendas, and documenting meeting minutes to ensure clear communication and follow-up on action items. + Act as a liaison between different teams within the department, facilitating effective communication, disseminating information, and ensuring alignment on departmental goals and initiatives. + Coordinate with external vendors, service providers, and contractors, managing relationships, assisting in contracts negotiation, and ensuring compliance with contractual agreements and service level expectations. + Support with specific IT related vendor assessments, and provide recommendations for selection based on departmental needs and requirements and corporate gudelines. + Identify opportunities for process improvement within the IT department and collaborate with team members to implement streamlined workflows or procedures. + Document IT departmental processes, policies, and best practices to ensure consistency, knowledge sharing, and compliance with organizational standards. **EDUCATION AND REQUIRED CREDENTIALS:** Bachelor’s degree or equivalent work experience in Administration, IT functions and/or Coordination **EXPERIENCE AND SKILLS:** + +5 years or more of experience in administrative support or coordination, preferably within a high paced and technical environment. + Project Management working experience a plus + Preferable to have experience of working in the healthcare sector + Team player; dynamic and proactive + Good communication skills (English and German), both written and verbal with good ability to understand the needs of users, both technical and non-technical. + Organized and structured approach to tasks and deadlines. Able to focus on priorities under pressure and self-manage high volume workloads. + Project management methodologies + Proficiency in MS Office suite, project management tools, and basic understanding of IT technologies/ concepts. + Ability to work collaboratively in a team environment and adapt to changing priorities + Proficiency in MS Office suite, project management tools, and basic understanding of IT environments + German language and English fluent as a must (presenting, writing, reading) + Additional languages beneficial
