Job Description The IT Vendor Contract Management Expert supports the IT Contract Manager in building, maintaining and enhancing solid relationships with IT vendors and internal stakeholders and may be responsible for one or multiple vendor relationships. The function is also responsible for driving and ensuring contracts are in place with beneficial/improved terms and conditions as layers for protection of the organization. This role provides support across departments to identify areas for improvement, streamline processes, and reduce costs by contract and commercial model reviews, providing recommendation, negotiations and strategy how to engage our partners by working with internal stakeholders.The expert also provides support in data gathering that aids in the decision-making process of the ISG Leads, enabling all contract execution activities to support the overall transformation objective and in parallel, helps remove roadblocks in achieving those objectives. As the expert, he/she also facilitates the alignment across various internal and external stakeholders of the group ensuring that everyone is locked-in with the agreed contracting plan.
Contract Management:
Co-Manage contract renewals, revisions and amendments post contract execution working together with the IT Contract Manager, Partner and internal stakeholders.
Contract Creation and Negotiation - Reviewing/Drafting Contracts: Develop clear, comprehensive, and legally sound contracts tailored to the needs of the organization. Negotiation: Engage in discussions with vendors, internal clients, and other stakeholders to agree on terms and conditions that are favorable to the organization.
Execute contract validation and reporting according to agreed upon process to ensure deliverables are being met by key stakeholders and the value of the contract isn’t deteriorating throughout its early phases of growth
Compliance and Monitoring - Compliance: Ensure all contracts adhere to legal and regulatory requirements, including industry standards and internal policies. Contract Monitoring: Track contract duration and expiry to support proponents in the timely renewal of contracts.
Issue Resolution and Amendments - Problem-Solving: Provide support in addressing any disputes or issues that arise during the contract term. Amendments: Manage modifications and extensions to contracts as necessary, ensuring all changes are documented and agreed upon.
Stakeholder Collaboration - Collaborate with cross-functional teams including proponents, Legal, ISDP ( Security), BCM, Finance and external partners to drive operational excellence related to contracting.
Documentation and Reporting - Record-Keeping: Maintain comprehensive records of all contracts, including but not limited to amendments, contract renewals, new engagements and Non-Disclosure Agreements (NDA).
Strategy & Planning - Provide inputs in the improvement of existing terms and conditions. Provide guidance to internal stakeholders on the company policy and legal and contractual best practices regarding suppliers
Supports in execution of consequence management to the partners as needed.
Partner Management:
Facilitates and builds relationships with and among executives internally and across with vendors
Acts as point of accountability for escalation and arbitration for relationship issues and operational problems (if all other avenues of vendor management fail e.g. Project Management)
Work Experience:
3+ years of work experience in governance or supplier management roles
Strong interpersonal and management skills
Experience in one or more IT categories, including hardware, software, service and communication
Experience working with legal and procurement staff
Knowledge of procurement and vendor management practices
Solid: 5-7 years of work experience in the desired / closely related area(s)

Supplier Management: Acts as the routine contact point between the organization and suppliers. Supports resolution of supplier related incidents, problems, or unsatisfactory performance.
Contract Management: Experience in driving contract and procurement related matters at an organizational level.
Negotiation/ Communication: Strong negotiation and communication background with a history of delivering contract close out on time and within acceptable terms and conditions. Communication: Background in Stakeholder Management, particularly in collaboration with cross-functional departments
Relationship Management: Identifies and recommends the communications and relationship needs of stakeholder groups and Partners related to contract or issues. Act as bridge to open communication and discussion between internal stakeholders and partners. Provides informed feedback to assess and promote understanding.
