Reports to        : Executive Director
CSC PRESCRIBED QUALIFICATION STANDARDS
Education         : Completion of two (2) years studies in college
Training            : Four (4) hours of relevant training
Experience       : One (1) year of relevant experience
Eligibility           : Career Service Sub-Professional/ First (1st) Level Eligibility
PREFFERED QUALIFICATIONS
Education         : Diploma/certificate/Associate Degree Programs on Secretarial Courses, office Management, Office Administration, IT courses
Training      : 8 hours of training in Records Management, Business writing, Office Administration/ Management, Microsoft Office Applications
Experience       : 1 year of experience in performing administrative functions or secretarial functions
JOB DESCRIPTION
The Administrative Assistant III shall perform a full range of secretarial duties and Job Summary: coordinates administrative activities for the Office of the Executive Director in coordination with the Executive Assistant.
PRIMARY TASKS
1.   Sorts, logs, tracks and coordinates timely action to all incoming documents to the Executive Director in coordination with the Executive Assistant and Unit Document Control Officers/ UDCOs;
2.    Screens incoming telephone calls, taking accurate messages, dealing with queries from internal/external callers to ensure they are referred in a timely manner to the Executive Assistant and/or concerned staff;
3.    Fills-up forms and routine endorsements and other correspondences from the Executive Director;
4.    Drafts memoranda, correspondences, and other relevant office documents in timely and accurate manner in consultation with the Executive Assistant;
5.    Acts as Unit Document Control Officer (UDCO) of the Office of the Executive Director (OED);
-Â Â Â Â Â Â Â Encodes and updates details of documented information in the Document Tracking System (DTS)
-Â Â Â Â Â Â Â Generates up-to-date documents needed by the Executive Director through proper identification and safe storage of records
-Â Â Â Â Â Â Â Maintains and retains document masterlists of the OED- Executive Director Conducts regular records inventory in coordination with other Unit Document Control Officers (UDCOs)
6.    Assists in providing Secretariat support during OED-initiated activities including but not limited to drafting of memo/authority, confirmation of participation, reproduction of training materials, facilitating requests for supplies and payment, etc.;
7.    Maintains and updates comprehensive calendar of activities;
8.    Maintains physical and electronic office filling systems for the Office of the Executive Director;
9.    Relieves other Administrative Assistants under OED when they are absent, as required;
10. Performs other administrative tasks as may be assigned by the immediate supervisor.
Job Outputs
1.    Secretarial and administrative support functions for Executive Director performed.
2.    Timely action on 100\% of incoming documents of the Executive Director facilitated in coordination with the Executive Assistant.
