ADMINISTRATIVE ASSISTANT III
Salary Grade    : 9 (Php 19,593.00)

Location           : Finance and Administrative Division
Reports to        : Chief Administrative Officer/ Executive Director
CSC PRESCRIBED QUALIFICATION STANDARDS
Education         : Completion of two (2) years studies in college
Training            : 4 hours of relevant training
Experience       : 1 year of relevant experience
Eligibility           : Career Service Sub-Professional/1st Level Eligibility
PREFFERED QUALIFICATIONS
Training            : 8 hours of training in records management

JOB DESCRIPTION
The Administrative Assistant Ill will make sure that all incoming and outgoing correspondences are properly filed and maintained for monitoring and retrieving purposes. He/she shall assist the Records Officer in the digitization of perm-vent/vital records. He/she shall also act as ATRO of JJWC and UOCO of Records Unit and CAO.
PRIMARY TASKS
1.    Files incoming and outgoing communications of the office as basis of monitoring;
2.    Gathers information/documents, tracks, and files all financial and administrative transaction as UDCO of Records Unit and CAO;
3.    Books preferred flights of the JWC Officials, Employees and stakeholders to facilitate their official travels within the country;
4.    Facilitates booking of preferred flights of the JJWC Officials, Employees and stakeholders to facilitate their official travels outside the country;
5.    Prepares and facilitates of liquidation/disbursement for DBMPS (GFA);
6.    Disseminates internal documents to concerned division/unit;
7.    Assists in the digitization of permanent/vital records of JJWC;
8.    Assists in management/storage of turned-over records either for safekeeping or eventual disposal; and
9.    Performs other tasks as may be assigned by immediate supervisor, Division Chief, Deputy Executive Director and Executive Director.
JOB OUTPUTS
1.    Records Management System
2.    Proper filing of incoming and outgoing communications to avoid losses
3.    Air Transport Order for booking of flights
4.    Liquidation/disbursement r port of DBMPS (GFA)
5.    Ensure that all communications are forwarded to the concerned division/unit
6.    Ensure that all incoming/outgoing documents of Records Unit and CAO are tracked in the Document Tracking System
