Junior Operations Analyst (Global Meeting Services) - Project Based

Overview:

The Global Meeting Services provides data support and services covering markets worldwide including US, Canada, UK, South Africa, Australia, New Zealand and Asia Pacific. The team continuously monitors and obtains relevant information on all upcoming corporate action events specifically shareholders meetings where topics such as acquisitions, mergers and demergers, election of directors and auditors might be discussed. The relevant meeting results are also collected. The information collected is accurately inputted in the database and this will be generated for clients to see. Collected information is also used by other teams for further data collection and research for the ultimate issuance of ISS Vote Recommendations.

Responsibilities:

Monitor the processes by which information and data are added to or exported from production systems through electronic data feeds and other media.Maintain data to ensure quality of mission critical information using both proprietary applications and commonly used business software applications.Ensure comprehensive audit trails are in place for data that is received from or sent to production systems.Support development of training documentation and systems.Monitoring corporate action events such as shareholders meetings from various sources like EDGAR, SEDAR and Stock Exchanges of each market and company websites to name a few.Procuring relevant shareholder meeting documents such as Annual Report, Notice of the Meeting, Information Circular, Proxy Forms and other Corporate Governance documentsContacting the companies or Issuers by email or phone for engagementsCollecting meeting details such as the date, type, record date, location, time, voting instructionsAscertaining securities (ISIN, SEDOL, CUSIP and CINS) that have the relevant voting rights in a meetingExtracting and Analyzing the meeting agenda and encoding it to the database where the relevant ISS Agenda codes should be attachedInputting correct Voting Instructions such as the Valid Vote Options; Market Deadline Date and details of the RegistrarsCollecting results of the meetings and inputting it to the databaseAssisting in any other relevant projects that might be assigned from time to time

Qualifications:

Bachelors’ Degree in Business, Finance, Economics or any equivalent/related courseStrong oral and written communication skillsKnowledge and experience in using MS-OfficeAbility to work within a team-oriented environmentAbility to work under tight deadlinesAbility to work overtimeStrong skills in problem solvingStrong attention to detailStrong organizational skills and ability to prioritize multiple tasksUnderstanding of corporate governance issues, corporate transactions and capital markets is a plusWilling for a morning, mid or night schedule. Flexible working schedule as business requiredWilling for 5-day onsite work for the first 3 months during the training period. Afterwards, should be open for a hybrid work set-up. Further details will be discussed during the interviews.

Open to Fresh Graduates. This is an entry-level position.
