The Junior Project Accountant is a key member of the Ware Malcomb Project Accounting team and is responsible for supporting the daily functions of Project Accounting by providing administrative and office services and implementing administrative procedures and policies. The Junior Project Accountant will work closely with their assigned Project Accountant & Accounting Assistant Regional Team to provide a high level of service to internal and external clients and consultants.Your RoleUnder the supervision and direction of assigned Project Accountant, setup a new and update existing projects with information from Project Management team to ensure compliance with Client’s billing & contract requirementsServe as the primary backup for Project Accountant during absences and vacationsWork with project team to obtain all necessary information to setup up projects in the system, enter budgets & prepare/initiate contractsDetect & Alert Project Accountant of any projects or contracts that fall outside the firms standard contract form or processCoordinate with Project Managers to obtain contract signatures from Clients & ConsultantsAccounts Receivable: Run Weekly Aging report and follow up on past due balances by email and phoneAssist Project Accountant with monthly invoicing processUnder the general supervision of the assigned Project Accountant, review instruction from Project Managers and take appropriate action. Generate invoices and coordinate with Accounting Assistants to email all invoices to ClientsOnline Portal invoice submissionsLog and route responses from Clients related to invoicingCreating redacted prime agreementsEmail and phone communication with Consultants and Clients regarding billing, contracts and issue resolutionPrepare waivers for invoicing, collect reimbursable expense backup, email invoices to ClientsProcessing and data entry in Vision accounting software COI RequestsFinalizing AIA documents Contract follow up emailsGeneral liaison between Assistant Team and Project AccountantAttend and actively participate in monthly AR callsAssist in monthly close out processAdditional duties and miscellaneous projects, as assignedQualificationsExcellent communication skills—written and verbal—are essentialMust be able to handle multiple tasks accuratelyExperience with billing, accounts receivable, completing payment applications, lien waivers/releasesMust have experience with Microsoft Office applicationsExperience with Deltek VantagePoint software a plusMust be able to handle a high volume of multiple tasks accurately; thrives in a fast-paced, team environment$28.50 - $33.50 an hourThe compensation range $28.50-$33.50 per hour, plus benefits. The final agreed upon compensation is based on individual education, qualifications, experience, licensing, project specialty/complexity and work location.
