Benefits & PerksSalary - $50,000 - $55,000 per annum.Benefits - Medical.2 weeks vacation.ResponsibilitiesExecute general administrative duties, including maintaining filing systems, handling incoming calls, receiving guests, scheduling appointments, ordering supplies, and managing incoming mail.Respond to day-to-day inquiries from tenants, service providers, and contractors, redirecting specific issues to the appropriate staff member for resolution.Track and distribute lease documents, create new tenant files, update tenant contact lists, and prepare welcome packages for new tenants.Prepare tenant notices and general correspondence for the Property Manager. Assist the operations department in drafting notices and other correspondence for approval.Assist the Property Manager in obtaining supplier and contractor quotations, preparing monthly client reports, tracking contract renewal dates, and obtaining updated insurance certificates.Maintain the regional database.Attend and actively participate in staff or customer meetings, preparing meeting minutes for distribution.Code invoices in Yardi, prepare financial reports and provide monthly status reports generated from Yardi as required.Assist in monthly accounts receivable analysis, including monitoring rental arrears, preparing notifications, demand and default notices, and following up with tenants to ensure timely payment of monthly rent, as directed by the Property Manager.Record all metered utility usage every month.Assist with annual property tax reconciliation, complete annual billings, year-end reconciliation of operating costs, and resolve tenant operating cost disputes.assist with special projects, including the preparation of various consolidated reports and annual budgets. Qualifications1+ years experience in Administration. Willing to work in Richmond.
