Position Summary

The Ambulatory Surgery Center (ASC) Surgery Scheduler is responsible for scheduling surgical patients, checking in patients for their scheduled procedures, and performing general reception duties.

 

Responsibilities

•    Schedules cases in appropriate rooms based on block or open time, ensuring proper time allotments for each case based on intricate scheduling guidelines with special attention to specialties and case complexity while maintaining a high level of accuracy; verifies Current Procedural Terminology (CPT) and case cost

•    Monitors individual scheduled case needs to avoid conflicts and ensures accuracy, including but not limited to; time of procedure, procedure scheduled, equipment conflicts, trays and implants needed, supplies, special needs for the physician, staff and/or patient

•    Processes additions, deletions, and changes on the daily schedules with notification to the appropriate personnel, adjusting schedules appropriately paying special attention to comments on case and accommodating all requests

•    Reviews upcoming schedules for anticipated/potential conflicts of any kind with scheduled cases

•    Identifies provider schedule capacity and analyzes the availability for patient/physician demand in order to maximize physician efficiency and schedule utilization

•    Collaborates with management, anesthesia physicians, coordinators, or leads to ensure appropriate case selection as necessary

•    Maintains and monitors all assigned task lists

•    Compiles documents and composes patients' charts while adhering to regulatory/legal requirements such as found on operative orders, history and physical requirements

•    Tears down patient charts and ensures all documents are ready to be scanned into the patient's permanent medical record

•    Checks in and assists patients at first point of contact, verifies patient demographic and insurance information, makes appropriate changes needed, obtains information on appropriate forms

•    Communicates necessary changes to customer service rep and or surgeon's office as appropriate

•    Collects co-pay and/or pre-payments as required and obtains prior insurance authorization

•    Answers all incoming calls, assists patients when able and triages to appropriate parties

•    Provides clerical support for all KOS departments including pre-op, pre-periop and OR

•    Communicates with clinic schedulers and staff about block time usage and released time

•    Reports any workflow problems/complaints to appropriate leadership

•    Adheres to strict scheduling guidelines and polices when scheduling patients

•    Ensures confidentiality of patient information

•    Maintains a positive attitude and professional behavior in all interactions

•    Complies with Kootenai Outpatient Surgery policies and procedures

•    Adheres to all training & accomplishments as required 

•    Provides excellent customer service

•    Operational needs of Kootenai Outpatient Surgery may require that you are available to work all shifts to meet the needs of the patients 

•    Relies on experience and judgement to plan and accomplish goals

•    Familiar with standard concepts, practices, and procedures within the field

•    Regular and predictable attendance is an essential job function

•    Performs other related duties as assigned

•    Competent to meet age-specific needs of the unit assigned

 

Requirements and Minimum Qualifications

•    High school diploma or GED preferred

•    2 years’ experience in the medical field preferred

•    Working knowledge of medical and surgical terminology required

•    Must be flexible in hours to provide adequate coverage

•    Demonstrated ability to maintain accuracy while adapting to changing priorities and multiple customers 

•    Excellent verbal, written, and interpersonal communication skills, strong organization skills and highly detail oriented
