PRIMARY FUNCTION: Manage and route documents received via fax server. Analyze each document and based on the information provided and following specific instructions as outlined, route the document to the intended recipient. As a Team Lead, the employee will maintain general oversight over the Document Processing Team, delegating office assignments and monitoring fax server status for all offices.
ESSENTIAL FUNCTIONS OF THE JOB: (This list may not include all of the duties that may be assigned).
Participate in new hire interview process, coordinate training schedules and assist in completing two week review, 30-day review, 60-day review, 90-day review Communicate with IT Support to ensure that all new hires receive their equipment/access on time and support resolution of IT issues for team members Assist with bi-weekly payroll reporting including daily review of attendance, absences, tardiness in Shifts App Oversight of the department calendar to ensure adequate coverage Delegate work assignments to document processing coordinators based on fax status and volume. Support employee development by monitoring team members’ daily performance and productivity. Communicate updates, workflow changes and departmental goals with team members Collaborate with supervisor to meet departmental goals and resolve issues Analyze documents received in fax server to determine routing procedures Follow Pediatric Associates Document Manager Routing/Uploading procedures, including timely processing of documents Communicate with Supervisor and Team members via Teams App to coordinate daily work assignments Identify time sensitive documents and respond with urgency Meet quality and productivity requirements as determinedPERFORMANCE REQUIREMENTS:
Education: High School Diploma or equivalent.
Licensure: None
Experience: 1-2 years experience preferred. Must be detail-oriented and able to efficiently complete a high-volume of tasks using many different sources. Excellent documentation skills required.
Typical Working Conditions: Working in a professional office environment. The position requires ability to sit for long periods of time. Clear and concise communication using e-mail and phone is necessary. May require sitting or standing for long periods, including stooping, bending & stretching. Requires, occasional lifting of files and boxes weighing up to 25 lbs. Requires manual dexterity sufficient to operate a keyboard, type at 35 wpm, operate copier, and other office equipment as necessary.
