Position Overview: 

The Lead Coordinator, Hard and Soft Services (Facilities) is responsible overseeing the day porters, janitorial team, and facilities vendors to maintain a clean, safe, and well-functioning office environment. The Lead Coordinator will ensure compliance with service agreements, manage maintenance and repair tasks, and lead office improvements and initiavites. The candidate has demonstrated experience leading cross-functional teams and managing performance through clear KPIs and objectives. They will collaborate with internal teams, vendors, and building management to uphold the highest standards of service delivery, while ensuring timely issue resolution and smooth facility operations. The role requires a proactive, organised individual with strong communication skills, capable of managing multiple tasks, vendor relationships, and maintenance programs efficiently. 

 

Hard Services 

 

Supervise the handyman and facilities sub vendors to ensure that the office is regularly maintained and any preventative and/or reactive maintenance is conducted.  

Ensure planned, preventive maintenance requirements are completed in accordance to the schedule.  

Develop and execute a checklist for daily, weekly, and monthly facility inspections, identifying and prioritising repair needs. 

Maintain service agreements and technical reports, ensuring regular checks and required maintenance are performed. 

Ensure all office spaces align with corporate branding and design standards. 

Manage facility maintenance tickets, ensuring timely resolution in line with service level agreements. 

Proactively conducted office walkthroughs and inspections to identify any improvements in the space.  

Collaborate with the company’s Facilities and Hard Services representatives to ensure that business requirements and processes are followed and implemented.  

Build relationships and liaise with Building Management and Landlord to ensure seamless communication, prompt resolution of issues, and facility maintenance and smooth operations.  

Manage procurement processes, including vendor selection, quote approvals, and order tracking. 

Maintain up-to-date records of asset and facilities register, training, vendor agreements, maintenance schedules, and equipment inventories. 

 

Soft Services 

 

Ensure janitorial team and day porters the team delivers on daily operations, including cleaning schedules, event support, and maintaining an organised, clean office environment in accordance with SLAs. 

Prepare the janitorial team and day porters for meetings, events and workplace services support within the office.  

Vendor manage and build relationships with all soft service vendors for the office, including plant maintenance and waste management. 

Perform quarterly performance reviews of all soft services vendors, comparing service levels against KPIs and recommending renewals or replacements based on outcomes. 

Coordinate daily tasks for the team and support them in prioritising based on the focus and business requirements.  

Ensure cover and back up is arranged for any absences out out of hour events.  

 

Security, Health and Safety 

 

Ensure all technical services comply with H&S regulations, building codes, energy standards, and corporate sustainability goals. 

Ensure the team is trained on the most recent country-specific health and safety protocols, and attending regular refreshers. 

Supervise on-site work by external vendors, ensuring adherence to corporate security and safety policies. 

Collaborate with Security and Health & Safety representatives and ensure that regulations are followed. 

Lead any Emergency Evacuation and Fire Drills and ensure smooth and efficient liaison with BM.  

Prepare contingency plans for hard service failures, including backup solutions for critical infrastructure (e.g. power outages, plumbing issues). 

 

Communication and Reporting 

 

Proactively communicate with the local office community or individuals using internal tools, Slack, Google Meets, and email. 

Manage maintenance, repairs and operations (MRO) expenses, ensure budget adherence is maintained and suggest cost-effecive spending initiatives.  

Maintain a vendor dashboard and keep it updated regularly, through finding new vendors to partner with.  

Onboard vendors via the IFM compay through the approved process.  

Prepare monthly reports on maintenance activities, ticket resolution, and vendor performance. 

Incorporate metrics such as maintenance response times, incident resolution rates, and vendor SLA compliance into monthly reports. 

Performance manage vendors and ensure they are meeting requirements according to the agreed KPIs. 

Keep open lines of communication with other key departments and build relationships with key people locally, regionally, and globally attending meetings as required.  

Build and maintain strong relationships with vendors, building management, and other external partners. 

Conduct weekly meetings the Operation Manager, providing updates, feedback, and escalating issues proactively and providing regular updates and recommendations. 

Lead regular meetings with direct reports and provide performance management, prioritise their workload, and foster team collaboration.  

Collaborate with WPS team members, addressing feedback and ensuring alignment with goals and objectives. 

 

Qualifications and Required Skills 

 

3-5+ years in facilities management, with expertise in hard and soft services. 

Fluent in Dutch and English (spoken and written). 

Strong ability to prioritise tasks, manage multiple projects, and meet deadlines. 

Proactive, solution-oriented, and adaptable to dynamic business needs. 

Competence with tools like Google Workspace (Gmail, Google Calendar, Google Drive), and Slack. 

Local country-specific Facility Management Certifications required
