In the absence of the Storeroom Manager, the incumbent will oversee workflow and scheduling, ensuring compliance with regulatory and safety standards while maintaining accurate inventory documentation. Training and mentoring new staff members is a key aspect of the role, along with assisting with departmental training and serving as a daily resource. The individual will manage and maintain the Wavemark 2-bin inventory system, providing training to new employees on its use and collaborating with vendors to troubleshoot any issues that arise. Additionally, the position requires working directly with the Department Manager, Inventory Control Specialist, and Nursing Supervisors to monitor and enhance the functions of the 2-bin system. Responsibilities also include assisting in the receiving, storage, and distribution of supplies, as well as responding to Code HICS and emergency events that require supplies, such as snowstorms and other related situations. The incumbent will address emergency backorders and help locate supplies as needed from other departments or external sources. Providing professional expertise is essential, as is enhancing the department's reputation as a support service. The role will also involve taking on special projects as assigned and assisting the Department Manager as needed while performing other related duties. Access to both legend and non-legend drugs is required, along with adherence to ethical standards regarding medication storage and security. Maintaining security and storage requirements at all times is crucial to prevent diversion and ensure product integrity. Responsibilities Workflow Planning and Organization: Demonstrate the ability to plan and organize work to maximize productivity while ensuring quality, safety, and customer satisfaction. Process Improvement: Assist in developing systems to implement and monitor process improvements, taking appropriate actions as needed. Policy Compliance: Ensure team members adhere to departmental policies and procedures, maintaining all quality, safety, and regulatory standards. Regulatory Monitoring: Support the department by monitoring compliance with regulatory and accreditation requirements, addressing deficiencies as appropriate. Training and Development: Train new and existing team members and students, ensuring completion of orientation and training checklists, as well as annual mandatory education and competency assessments. Performance Feedback: Provide feedback to leadership on team members' performance, including recommendations for coaching or disciplinary action, and assist in completing performance appraisals. Educational Support: Assist in preparing departmental training programs, quality and safety initiatives, and performance improvement projects. Resource Management: Act as a resource for daily operations, sharing knowledge of specific job aspects and technical details with others. Candidate Evaluation: Participate in the interview process and provide feedback on candidates. Inventory Management: Audit exchange carts and stock areas, removing outdated or unused supplies routinely. Maintain the supply support system in patient care areas, ensuring accurate inventory and timely restocking. Documentation: Accurately prepare and process inventory documentation, including stock requisitions and return credits, and ensure proper labeling and rotation of stock. Supply Handling: Receive and inspect incoming materials and equipment, verifying shipment accuracy and documenting any discrepancies. Manage storage and distribution techniques effectively. Shipping Coordination: Ship packages using various carriers (e.g., FedEx, UPS), maintain shipping records, and follow up to ensure pickups are completed. 2-Bin System Management: Train new users on the 2-bin inventory system, manage requests for changes, and collaborate with the Storeroom Manager and Inventory Control Specialist to enhance the system’s processes. Operational Oversight: Oversee daily workflow and schedule maintenance in the absence of the Storeroom Manager, and handle manual requisitions in the absence of the Inventory Specialist and Manager. Equipment Tracking: Issue patient care equipment, ensuring accurate documentation and tracking. Cycle Counts: Assist the Inventory Specialist with conducting cycle counts. Additional Duties: Perform other required tasks and support hospital functions outside of normal responsibilities as needed. Qualifications Experience: A minimum of three to five years of experience working with patient care supplies and equipment. Knowledge: Understanding of the purpose and use of medical and surgical supplies and equipment, with relevant experience in their storage and distribution. Technical Proficiency: Proficient in the use and management of the Wavemark 2-bin inventory system. Independence: Ability to work independently and efficiently in a fast-paced environment. Communication Skills: Strong communication skills, with the ability to effectively address the needs of all departments. Computer Skills: Excellent proficiency in computer applications relevant to the role. Customer Service: Outstanding customer service skills, coupled with a professional appearance and demeanor.
