Location\: Schriever Space Force Base, Colorado Springs, CO

Travel Required\: Up to 10% of the time

 

Description of Duties\:

The Lead Executive Assistant supports the Missile Defense Agency (MDA) on the Integrated Research and Development for Enterprise Solutions (IRES) contract. The candidate will\:

 

·       Provide support to the Program Manager & Deputy Program Manager with all administrative needs which include calendar management, meeting scheduling, event planning travel arrangements, expense reconciliations and reports, supports preparation of materials, and operate presentation equipment.

·       Serve as a liaison connecting with other Executive Assistants of various corporate SVP levels to ensure communication is open and flowing; coordinates schedules with SVPs for travel support; conference attendance, etc.

·       Adapt to various demands and demonstrate the highest level of customer service and response.

·       Take ownership of requests; tailor solution to the situation; be timely in follow-up; resourceful in information gathering and research; able to balance changing and competing priorities

·       Work with and maintain confidential, proprietary and sensitive information

·       Assist several Directors with calendar management, meeting scheduling, travel arrangements, expense reconciliations and reports, supports preparation of materials

·       Support HR, other business functions, and facilitate internal and external audits

·       Perform move coordination for the MDA HR system and workflows, responsible for executing new hire on-boarding, transfers of support for inter-departmental moves, departures, and personnel moves.

·       Chair weekly meetings with other IRES administrative assistants and facilitate daily communication within the group.

·       Manage all IRES level email distribution groups - Directors, STIMS, Functional Leads, Teammates, Amentum, IRES all, etc.

·       Arrange special events and VIP visits and tours.

·       Plan and execute IRES Quarterly Awards submissions, board reviews, ceremony, and audio/visual venues.

·       Assist with any IRES offsite and onsite (at Schriever Space Force Base) needs – conference room reservations, supplies, etc.

·       Serve as a block captain at the onsite location

 

The successful candidate will\:

·       Exhibit excellent interpersonal skills and have frequent interaction with senior management and staff from across the contract and customers

·       Be highly organized with strong attention to detail

·       Have strong communication (written and verbal) and interpersonal skills

Basic Requirements\:

Must have one of the following combinations of education and experience\: HS Diploma (or GED) and 4 years of general experience; Associate degree, or higher, and 2 years of general experience

 

·       Must have 2 years of experience in project administration or management.

·       Must have 4 years of directly related experience

·       Must have an active DoD Secret security clearance

 

Desired Requirements\:

·       Have demonstrated proficiency in Microsoft Office Suite

·       Have experience supporting DoD government contracts

·       Have experience coordinating, planning, and communicating with executive level organizations (civilian Vice Presidents or higher, government SES, or military General or Flag Officer)

·       Have 2 years of experience with the Missile Defense Agency

·       Have experience in managing schedules, arranging travel and submitting expenses for executives

·       Have experience in technical writing and editing

 

This position is expected to pay $65,000 - $98,000 annually; depending on experience, education, and any certifications that are directly related to the position.
