Lead Facilities Coordinator

As the Lead Facility Coordinator, you will serve as the main point of contact for all workplace experience and office services. This entails providing administrative support for various facilities functions while developing a continuous improvement approach to all assigned tasks.

Bachelor’s Degree or equivalent, relevant experience2 Years of Facility, Administrative or relevant experience

What will you be doing in this role?

Serve as the first point of contact for all individuals entering the facility, greeting them with a friendly and welcoming demeanor. Issue visitor passes and strictly adhere to security protocols.Management of office and breakroom supplies for the assigned location.Manage on-site events with activities across multiple teams including oversite of setup and teardown and timely delivery of supplies.Support colleagues and suppliers by ensuring smooth operation of location-specific processes.Monitor and maintain cleanliness and order of community spaces such as shared workstations, collaboration areas, and meeting rooms.Coordinate facility-specific security and emergency procedures, promptly notifying appropriate parties to ensure the safety of all building occupants.Receive, route, and resolve a variety of service requests and issues from colleagues, contractors, and suppliers using internal management systems to meet required turnaround times.Setup and maintain project files, meeting minutes, correspondence, and related follow-up documentation.Process and track purchase requisitions and change orders to align with approved budget.Submit invoices to accounts payable and track approvals and payments.Manage accurate digital and physical records, including facilities and construction-related licenses, filings, building plans, and other documents in compliance with regulatory requirements and established protocols.Identify, document, and develop process improvement opportunities across the team.

About the Team

The Global Real Estate and Facilities team is made up of 40+ colleagues across 12 countries.  We provide day-to-day facility management support, ensure the safety and sustainability of our offices, and provide strategic support and analysis on the effectiveness and utilization of our offices. 

Hours of Work

On-site position working 5 days a week Monday through Friday.
