Performs operational and clinical tasks including but not limited to the supervision and coordination of patient appointments for the assigned area, including provider visits, diagnostic tests, procedures, and treatments based on provider orders. Description of Duties • Supervises and evaluates the performance of medical schedulers. • Schedules and manages adequate schedulers staffing. • Responsible for the daily operations and clinical support functions of the assigned area. • Coordinates all tasks associated with the support of patient care within the assigned area. • Actively participates in staff interviews to provide input regarding new hires. • Receives and manages multiple telephone calls from internal/external customers, directs calls appropriately in an expedient, courteous and friendly manner, and supervises/trains others to do so. • Receives and reads orders, mentors new employees in the process and serves as a resource to schedulers for order questions. • Manages, monitors, and facilitates completion of the patient scheduling process to ensure optimal efficiency in clinic operations and resources while maintaining the institution’s standards of customer service and quality patient care. • Oversees the patient schedule to ensure appointments are scheduled accurately and appropriately. • Derives appointment duration times appropriately with collaborative involvement of the nursing and pharmacy team. • Monitors, trains, schedules, evaluates, and coaches assigned staff. • Develops an orientation plan for newly hired medical schedulers. • Participates, designs, and implements medical schedulers’ performance metrics and monitors performance standards. • Trains medical schedulers in regard to area of assignment’s office procedures, systems, scheduling policy and procedures, and new skills needed. • Requires flexibility and the ability to function in multiple patient support capabilities as delegated by center management team. • Performs other duties as assigned. Supervision Received General supervision from assigned supervisor. Supervision Given Direct supervision of assigned staff. Required Education High School Diploma or equivalent. Preferred Education Related associate degree from an accredited program/university. Licenses/Certifications None. Required Experience • Five (5) years of related work experience to include two years in a project coordination/lead/supervisory capacity, or • Three (3) years of the required experience with a related Associate’s degree. Preferred Experience Experience in related clinical environment. Equipment Use of standard office equipment. Working Conditions Needs to be able to successfully perform all required duties. Office/healthcare environment; some travel and weekend work is required. Exerting up to 20 pounds of force frequently, and/or a negligible amount of force constantly to move object. UTRGV is a distributed institution, which requires presence at multiple locations throughout the Rio Grande Valley. Work is performed primarily in a general office environment. Other Knowledge of and execution of selected tasks related to patient care are critical. Depending on area of assignment, may require specialized knowledge. Organized and effective at dealing with several activities simultaneously; strong organizational skills required; ability to prioritize. Protects patient health information ( PHI ) only in accordance with Health Insurance Portability and Accountability Act ( HIPAA ) standards Excellent verbal and written communication skills.
