Job Description
As a Lease Administrator USA & PR & CA in the Expansion function, together with the controlling and legal team, you are responsible to secure contract execution, documentation, and support the Leasing and Legal team with contract handling and documentation. You maintain the administration of the contracts, physically and in LIMA (H&M’s Lease Administration System). You set the strategy for documentation handling and rental payment follow-up. You collaborate with group, regional and market expansion to provide data, key dates, notices, analytics, and assist them to manage the portfolio from an administration perspective.
This hybrid role reports into our Senior Real Estate Attorney and is based out of New York, NY.
A Day in the Life

Coordinate and secure routines for contracts and document handlingEnsure all contacts are signed correctly and follow up on contract executionAdvise on missing data or information to secure 100% data accuracy in LIMA and other systemsResponsible for the internal and external transmittal of odd documents, reports and notices when neededProvide data audits on co-tenancy, key dates, rent terms, and any other relevant info required by the markets, region, or internal departmentsPartner with legal, controlling, accounting, facilities, construction, regional & market teams as required to verify lease information and provide support as neededSecure that payments are made correctly by providing the relevant info to the accounting departmentCoach and train the expansion functions for correct data input and system managementUnderstand the routines and way of working for other expansion functionsUndertake data audits on co-tenancy, key dates, rent terms, etc.Set the strategy for documentation handling and signaturesSet strategy for data loads and rental payments together with controllingCreate and implement routines for contract executionContinuously stay up to date on Group routines and propose improved ways of workingDevelop supporting documentation to assist your markets best way of workingCollaboration with the controlling team in Group, Region and Markets, as well as with lease managers and other functions in their way of workingUnderstand the accounting routines and relevant timelines for paymentCollaborate with other departments to provide, verify or confirm lease dataAdditional Accountabilities:Prepares Annual Rent Budgets and Quarterly Forecasts for Real Estate PortfolioReviews, analyzes, recommends and implements solutions to decrease rent related costsConstruction Allowance, Late Delivery Fee CollectionQualificationsWho You Are:
Bachelor’s Degree in Business Administration, or equivalent work experience in related field3+ years of previous experience in a high-volume lease administration department or external firm working with legal documentation and contract managementProven record of legal and numerical understandingLegal and/or contract management skillsOrganized and structuredAccounting and/or numerical skillsTeamwork and collaborationKnowledge in MS Office, more specifically Outlook, Excel, PowerPoint and MS Teams.Strong control and administration of documents and routines for securing a good governance process to avoid missing informationExtremely organized in your way of working, are thorough in your processes and have attention to detailEnjoy teamwork and effectively collaborates with a group of diverse people in order to achieve set goals and targetsWork effectively in a fast-paced work environment while managing various tasks at once and have a ‘’can-do’’ attitudeInclusive, positive, open to feedback, willing to multitask and learn on the jobAdditional Information

Compensation: salary range is $76,144-$85,662 annually**
