Lease Administrator
Rush Truck Centres of Canada is a part of the largest commercial vehicle dealership group, Rush Enterprises, in North America. The Lease Administrator’s primary function is to provide effective and efficient administrative support for the Idealease (RTL) team. Their primary focus is monthly lease billing and to assist with general administrative tasks for the lease and rental department. This position will report to the Lease Administration Supervisor. Responsibilities Monthly Lease Billing: Collects and enters all customer mileages for the following billing locations: Mississauga, Markham, Sudbury. Accurately enters all variable data, mileages, engine hours, reefer hours. Reconciles current month’s billing against previous month’s data to ensure that there are no notable differences. Effectively communicates any significant changes to the team and addresses any potential issues. Emails or mails out all lease billing for respective locations on monthly basis. Emails or mails out all Mississauga rental invoices on monthly basis. National Account monthly lease billing; collects and enters all customer mileages for Idealease National Account customers. PAP processes: ensures that all PAP info is sent to CashManager on time each month and that all PAPs are accurately submitted for each customer. FLT200 Processes: Account processes; entry of invoices on the Idealease Portal, reconciling payments and credits on SAP. Works with Idealease Office Administrator to reconcile any missing invoices from the Idealease Portal before the 25th of every month (cut-off posting date for Idealease). Geotab: Ensures that all new Geotab devices are accurately categorized and labelled within the Geotab system. Fulfills Geotab orders for the Idealease team and processes monthly Geotab invoices. Responsibilities also include set up of customer profiles, and terminations of the devices. Assists customers with their Geotab platforms when necessary. Used Trucks Administration: Submits “out of service” forms to U.S. corporate office for all off-leased units. Works between RTC service and RTL service teams to ensure all open ROs are closed on the asset pending transfer to the Used Truck department. Owns process from start to finish of transferring RTL asset to Used department. Miscellaneous: IFTA processes (taken over from Idealease Administration Supervisor); ensures that Geotab reporting is run for each IRP unit monthly. Reconciling units against history in SAP Fiori to capture true in/out times/dates on rent. Tracking IRP units in and out of the fleet. Working with rental reps to collect hold harmless letters and/or fuel receipts. Submits quarterly reports to ACCEO on time and adheres to all government timelines regarding IFTA reporting. Invoices customers accordingly for any tax-free fuel once broker chargeback statements are received (quarterly). Bills out any fines or tickets paid or owing on behalf of any lease or rental customers. Fuel billing – reconciles fuel cards and invoices customer(s) on a monthly basis for any purchased fuel. Provides word-processing, spreadsheet, and secretarial support when necessary. Provides back up support for Licensing as needed for Idealease department (pick up/drop off). Assists with keeping accurate files and assists with the general filing system. Assists various departments with administrative requirements. Maintains a professional appearance. Follows company Health and Safety policies and procedures. Maintains a safe, clean work environment. Other administrative duties as required. Basic Qualifications High School Diploma or equivalent. College or post-secondary education is preferred. Two years experience in an administration role for automotive service, repair, or related business. SAP Experience is an asset. Competency in the following areas: customer service, administrative skills, time management, proficiency with computers; Microsoft Word, Excel, Outlook. Detail oriented with excellent verbal and written communication skills.
