Job Summary:

The Leave and Workers' Compensation Coordinator is responsible for administering the company’s leave policies and supporting the administration of the workers' compensation program. This role involves acting as a liaison between team members and the Leave Management (LM) carrier, coordinating injury and incident reporting, tracking claims, and providing general administrative support. This position plays a key part in promoting workplace safety and ensuring compliance with relevant laws and regulations.

Key Responsibilities:

Leave Management:

Respond to team member leave inquiries as it pertains to FMLA and ADAAssist the LM Specialist in managing and processing team member leave requests.Assist in monitoring compliance with company policies, as well as federal and state regulations related to leave.Assist in providing team members with guidance and support throughout the leave process.Maintain accurate and up-to-date records of all leave transactions.Collaborate with Leave Management specialist, HR, and other relevant departments to ensure a smooth leave process.Support with monitoring leave trends and provide reports to management as needed.Assist in the development and implementation of leave policies and procedures.Report any issues or escalations related to leave management promptly and professionally.Handle administrative duties related to leave management, including answering emails, correspondences, and follow-ups with providers and employees.Assist the Leave Management Specialist and HR team with other duties as assigned.

Workers' Compensation:

Receive, log, and track workers’ compensation claims from initial report through closure.Communicate claim status and updates to team members, site managers, and the Workers' Compensation Specialist.Prepare and maintain documentation related to workers’ compensation claims, incident reports, and OSHA compliance.Assist the Workers’ Compensation Specialist with preparation and submission of OSHA 300 reports annually, ensuring accuracy and timeliness.Assist the Specialist in monitoring adherence to safety policies and procedures across all company sites.Support the safety committee by coordinating logistics and distributing materials to promote safety awareness.Assist with annual audits conducted by workers' compensation carriers, ensuring all documentation is accurate and complete.Maintain organized records for compliance audits and workers' compensation reporting requirements.Coordinate the logistics of safety training sessions and distribute educational materials to team members.Maintain training records and help implement preventive safety measures based on identified trends.Handle administrative duties related to workers’ compensation, including scheduling, correspondence, and follow-ups with providers and other stakeholders.Assist the Workers' Compensation Specialist and HR team with other duties as assigned.

Knowledge, Skills, and Abilities:

Strong organizational and time management skills. Ability to handle sensitive information with confidentiality. Effective written and verbal communication skills. Proficiency with HR information systems, Excel, and Word. 

Experience and/or Education Qualifications:

Associate degree in Human Resources, Business Administration, or a related field; or 2 years of equivalent experience. Minimum of 2 years of administrative experience, preferably in leave management, workers’ compensation, occupational health, or safety compliance.
