Job Summary
Responsible for performing administrative and professional level functions ensuring program compliance for all leave items related to the Family and Medical Leave Act (FMLA), Americans with Disabilities Act (ADA), Uniformed Services Employment and Reemployment Rights Act (USERRA), Long Term Disability (LTD), and other leave programs.
Major Tasks, Responsibilities and Key Accountabilities
Interprets and administers leave programs and policies in accordance with applicable federal and state employment laws.
Ensures leave requests, team tasks and approvals are processed and tracked accurately and timely; works closely with the payroll and timekeeping teams to ensure that leave processing is accurate.
Processes Leave of Absence claims and answers inquires related to leave of absence questions.
Advises, counsels, and educates associates on leave policies, procedures, and programs; including informing associates of eligibility status. Maintains proactive communication with associates and coordinates vendor support during leave duration.
Provides ongoing support to all associates and HR related company policies, procedures, standards, and applicable leave and accommodation laws including FMLA, ADA, and state and local laws.
Partners with HR to oversee the return to work process for associates, which may include accommodation requests under ADA and requests for guidance from the manager.
Coordinates and organizes all medical information and ensures that HIPAA and Employee Privacy guidelines are effectively executed.
Researches, analyzes, and resolves non-standard leave issues and responds to escalated employee service requests.
Stays up-to-date and knowledgeable of current trends and law changes for employee leave programs, ensuring compliance with applicable laws and company policies.
Assesses and documents internal processes and provides recommendations to improve, streamline and enhance process accuracy.
Maintains and properly stores and/or destroys leave records in compliance with retention policies, procedures. Maintains confidentiality of sensitive information.
Nature and Scope
Demonstrates skill in data analysis techniques by resolving missing/incomplete information and inconsistencies/anomalies in more complex research/data.
Nature of work requires increasing independence; receives guidance only on unusual, complex problems or issues. Work review typically involves periodic review of output by a supervisor and/or direct customers of the process.
May provide general guidance/direction to or train junior level support or professional personnel.
Work Environment
Located in a comfortable indoor area. Any unpleasant conditions would be infrequent and not objectionable.
Most of the time is spent sitting in a comfortable position and there is frequent opportunity to move about. On rare occasions there may be a need to move or lift light articles.
Typically requires overnight travel less than 10% of the time.
Education and Experience
Typically requires BS/BA in a related discipline. Generally 2-5 years of experience in a related field OR MS/MA and generally 2-4 years of experience in a related field. Certification is required in some areas.
Preferred Qualifications
Bachelor’s degree in Business, Human Resources Administration or a related field is preferred.
Knowledge of ADA, Multi-state disability laws, FMLA requirements, and related state and federal regulations.
Experience in customer service.
Demonstrated analytical, organization, problem-solving and critical reasoning.
