Leave of Absence Case Administrator - Hybrid

**DESCRIPTION**
The Leave Case Manager is responsible for supporting the administration of employee leave of absence programs in both the United States and Canada, including FMLA, ADA accommodations, short-term disability, parental leave, provincial, federal and other company leave policies. This role ensures compliance with applicable federal, state, and local regulations while providing excellent support to our Acosta team throughout the leave and accommodation process. The Leave Case Manager will also analyze leave data, identify trends, support escalations, and maintain detailed reporting to support HR operations and strategic decision-making.
**RESPONSIBILITIES**
**Essential Duties and Responsibilities**
**Leave and Accommodation Administration**
+ Manage the end-to-end process for employee leaves of absence, including intake, review, approval, tracking, and return-to-work coordination.
+ Support and coordinate the administration of ADA accommodations, including evaluating recommendations and facilitating the interactive process between managers, HR and our vendor.
+ Identify concerns when reasonable accommodations are not supported by managers in accordance with the ADA and ADAAA (Americans with Disabilities Act Amendments Act) to support employees with disabilities.
+ Coordinate with third-party administrators, payroll, benefits, and managers to ensure efficient and accurate leave and accommodation processing.
**Compliance and Policy Adherence**
+ Ensure compliance with federal, state, and local laws, including FMLA, ADA, ADAAA, HIPAA, and state-specific leave regulations.
**Employee Support and Communication**
+ Serve as the primary point of contact for employees needing escalated support of leave or accommodations, providing timely, clear, and empathetic assistance.
+ Direct employees to the correct resources and contacts for the specifics of their current need or level of support.
**Data Analysis and Reporting**
+ Analyze leave and accommodation data, including leave types, durations, employee demographics, and accommodation trends.
+ Provide insights and recommendations to HR leadership for improving leave policies, processes, and workplace accommodations.
**Collaboration and Process Improvement**
+ Work closely with HR, legal, and management teams to ensure consistent application of leave and accommodation policies.
+ Provide training and guidance to managers on ADA requirements, leave procedures, and compliance responsibilities.
+ Identify opportunities to enhance leave and accommodation processes to improve employee experience and operational efficiency.
**QUALIFICATIONS**
+ **Education:**
+ Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent experience).
+ **Experience:**
+ Minium of 4 years of experience in leave administration, ADA case management, HR, benefits, or a related field.
+ Experience with FMLA, ADA, ADAAA, STD, and other leave-related programs.
+ Experience working with a third-party administrator (including implementations) is preferred.
+ Experience working with US and Canada leave laws is preferred
+ **Skills:**
+ In-depth knowledge of both United States and Canada federal, state, and local leave laws, including FMLA, ADA, and ADAAA.
+ Strong understanding of the interactive process for ADA accommodations.
+ Excellent organizational skills and attention to detail.
+ Strong written and verbal communication skills.
+ Proficiency in HRIS systems, leave management software, and Microsoft Office Suite.
+ Experience with data analysis and reporting tools (e.g., Excel, Service Now) is a plus.
+ Ability to work independently while identifying problems, analyzing information and draw valid conclusions for resolution
+ **Certifications:**
+ Professional certifications (CLMS) are preferred but not required.
