The Office is seeking a Confidential Legal Administrative Assistant Senior to support the Solicitor General Section, specifically assigned to work with attorneys on confidential matters within the Employment, Tort, and Public Utilities Commission Division. Under general supervision, the Legal Administrative Assistant Senior: + Performs legal administrative assistant work functions for assigned attorneys and paralegals. + Assess, assign, and re-assign workloads within the section and division with the office manager. + Serves as technical expert on word processing and other software used in work processes. + Provides technical advice and work guidance to other office support staff. + Responsible for training and mentoring with new legal administrative assistants and other office support staff as directed by your manager. + Work collaboratively with the other legal administrative assistant’s senior to maintain training documentation and resources for the support staff. Legal Administrative Assistant Seniors should be familiar with the following types of legal documents: legal pleadings, briefs, appellate court notices and motions, memoranda of law, legislation, transcripts, delegation orders, correspondence, search warrants, complaints, memos, charts, service letters, and affidavits of service and more. **Minimum Qualifications** + Completion of a legal secretary, legal administrative assistant, or related post-secondary training program or certification; OR two or more years’ experience as a legal secretary or legal administrative assistant. + Experience as a legal secretary that demonstrates the following ability to: + Assess daily workloads within assigned area of responsibility so that litigation or project deadlines are met by evaluating progress and making reassignments as needed. + Train new legal administrative assistant staff so that they are oriented to the workplace by providing instruction and technical advice on legal document production, court rules and practices, office policies and practices, use of software applications, and general office equipment. + Effectively communicate and work with a diverse clientele including staff attorneys, executives, managers, client agencies, court personnel, opposing counsel, the public, and co-workers. + Skill in: + Typing/Keyboarding sufficient to perform skilled typing tasks with speed and accuracy + Customer Service sufficient to provide courteous, effective & timely service to co-workers, other legal staff and clients/customers. + Ability to: + Use word processing software sufficient to type, format, edit and finalize legal documents and other written materials ensuring that they are properly formatted, grammatically correct and error-free + Use or readily learn to use database software to access, enter, edit/update, format, and print information in databases + Transcribe dictated materials from machine to written form accurately, efficiently and with correct grammar, punctuation & spelling while meeting strict court deadlines + Knowledge of: + Legal terminology sufficient to perform the job duties effectively **Preferred Qualifications** + Five years’ experience as a legal secretary or legal administrative assistant + Prior leadership, lead work, or supervisory experience + Experience with software applications such as advanced Microsoft office suite products, Access, Excel, and Outlook email/calendar/scheduling; PowerPoint sufficient to train in usage and troubleshoot problems **Physical Requirements** + Ability to move and transport such articles as files, laptop computer and resource materials weighing up to 20 pounds **Additional Requirements** It is our policy that all candidates submit to a background investigation prior to employment.
