Summary: 

Supports Legal Department. Develops, maintains and administers contract, matter, and claim management processes for Legal Department.  Position demands high level of confidentiality and customer service.

Essential Duties and Responsibilities: 

Support attorneys in reviewing contracts and managing matters and claims, assuring timely updates, review, and responses to internal and external client requests. Administer and maintain, with attorney direction, intake processes for all contract reviews, legal claims, and matters; and contracts, claim, and legal matter database, aiming to maintain accurate, reliable and complete master database. Disseminate information to appropriate employees regarding contract review and matter status, and facilitate contract and matter review meetings with counsel, when appropriate. Educate employees in all offices in seven states on contract standards and policies in cooperation with counsel and Training & Development team members. Assist in the development or improvement of contract templates and other templates maintained by the Legal Department. Schedule and coordinate internal and external meetings. Support Legal Department with managing outside counsel, including drafting engagement letters, monitoring billing rates, and processing invoices upon approval. Prepare Legal Department’s periodic reports to management and assure timely delivery. Prepare RFP responses on claims-related questions for attorney review and approval. Support Legal Department in creating and implementing policies and related processes. Establish and coordinate workflow processes. Provide administrative support to the Legal Department, including documentation management, filing, mail, and various support tasks that may arise. Collaborate with and serve as liaison for Legal Department vendors. Work cooperatively with the internal and external systems administrators, managers, and others. Assist attorneys with review of pre-employment background checks as requested by Employee Services. Assist attorneys with legal research using legal reference databases and collection of data for claims. Prepare record retention notices and notices in relation to claims or potential claims. Process Legal Department invoices. Must perform all responsibilities with appropriate attention to the sensitivity and confidential nature of all matters. Reliable and regular attendance. This job is safety sensitive for medical marijuana purposes. All other tasks as assigned.

Education/Skill Requirements:

College Degree, preferably in business or related degree, or associate’s degree. 5 years relevant work experience preferred. Experience with construction contract negotiation and administration preferred. Intermediate to advanced working knowledge of and capability with Microsoft Word, Excel, and Outlook programs. Ability to interpret and implement policies and procedures. Active listener and learner. Excellent written and oral communication. Exceptional in organization, time management and ability to efficiently execute tasks. Excellent interpersonal skills, including professionalism, assertiveness, conflict resolution, quality customer service, and team-oriented focus. Maintain positive relationship with internal and external customers. Attention to detail and accuracy and looks for ways to improve and promote quality and service.

Physical Demands:

Ability to continuously sit, stand or walk. Ability to bend, squat, climb stairs and lift frequently. Ability to lift up to 10 pounds often and up to 25 pounds occasionally. Travel required, valid driver’s license mandatory.

 Work environment:

Office, cubicle, or workstation. Occasional visits to construction project sites of varied types.
