Legal Assistant
Job Purpose & Scope Provides legal and administrative support, as directed by the General Counsel, with an emphasis on using workflow software platforms and technologies to administer and coordinate legal matters. Essential Job Functions Performs general office functions, including logging, documenting, distributing, monitoring, and tracking legal matters received by the Office of General Counsel. Performs preliminary reviews and drafts appropriate documents related to various legal matters involving business entities, trusts, estates, powers of attorney, guardianships, POD claims, IRAs, governmental entities, escrow accounts, and other complex accounts. Coordinates all aspects of legal matter intake and tracking in connection with workflow software platforms and technologies. Obtains documentation due from opposing counsel, as necessary. Answers incoming calls and responds to inquiries in a timely and accurate manner. Assists General Counsel in preparing and filing pleadings, as necessary, and in scheduling hearings and appointments. Completes special assignments relating to legal actions. Maintains accurate follow-up system to review cases, as appropriate. Prepares and processes correspondence, legal papers, and documents requiring working knowledge of legal format, terminology, and procedures. Research, compiles, and analyzes data for special projects and various reports, including document production related to summons, subpoenas, and requests for information in the role of records custodian for Bank OZK. Obtains documentation and works closely with Retail Banking employees related to complex accounts, including organizing documents related to complex accounts and use of internal forms related to such accounts. Maintains accurate follow-up system to obtain additional information necessary to properly evaluate the request to open a complex account. Coordinates customer luncheons with caterer, including setup and cleanup of the conference room, as necessary. Maintain good punctuality and attendance to work. Follow Bank policy, procedures, and guidelines. Provides assistance to others in the department, as needed. Knowledge, Skills & Abilities Knowledge of legal workflow software platforms and technologies. Knowledge of basic contract boiler plate provisions and contract analysis. Working knowledge of legal terminology, legal procedures, and court systems. Knowledge of basic legal documents, such as contracts, business entity formation documents, trusts, estates, powers of attorney and guardianships. Ability to draft preliminary internal and/or legal documents for review by General Counsel. Ability to maintain current knowledge of new rules, regulations, and legislation pertinent to the organization. Ability to communicate effectively, both verbally and in writing. Ability to work effectively both independently and in a team environment. Ability to maintain cooperative relationships with the public. Ability to organize work, manage time effectively, and work on multiple priorities with exacting deadlines. Ability to coordinate projects and communicate changes/progress. Ability to demonstrate accuracy and thoroughness in work. Ability to demonstrate accountability for assignments. Ability to identify and resolve problems in a timely manner. Ability to gather and analyze information. Ability to maintain confidentiality. Ability to work overtime when necessary to accomplish business objectives. Ability to learn, operate, and manage workflow software platforms and related technologies. Skill in using computer and Microsoft Office, including Word, Excel, PowerPoint, and Outlook Basic Qualifications High school diploma or equivalent, required. 3+ years of experience in an administrative position, preferably in a legal environment, required. Familiarity with, and/or experience in using, workflow software platforms and related technologies.
