Job Description

Brookfield is seeking a Legal Assistant to support the Legal Team in the Brookfield Manager. The ideal candidate will be a self-starter who is detailed oriented, proactive, and professional. The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure while remaining positive, flexible, resourceful, and efficient is key this role. The demonstration of a high level of professionalism and confidentiality is crucial.

Job responsibilities include, but are not limited to:

General duties:

Legal document management and preparation with strong proficiency in MS Office and Adobe Acrobat (including advanced formatting of Word documents including track changes and comments)

Calendar management and scheduling

Participate in office operational projects as required (for example, documentation management and coordination of signing of documents)

Records management (i.e. filing, photocopying, etc.)

Expense report receipt tracking and report submission

Legal Tracker (Serengeti) matter openings

Reviewing, approving and reconciling vendor invoices with a particular focus on legal invoices. Includes managing the accounts payable process and communicating with law firms and other vendors

Manage incoming communications, including email, telephone and mail

Assist team members with work overflow, when time warrants, during absences, holidays, etc.

Provide support as needed in onboarding new employees within the legal group

Travel booking and coordination of Legal team and board members as required

Candidate Profile:

2-4 years' experience in a law firm or the legal department of a large public company/in-house group preferred

Demonstrated ability to handle confidential information appropriately

Strong interpersonal skills and good judgment

Proficient in MS Office, including Word, Excel, PowerPoint and Outlook

Experience with Concur is a plus but not required

Extremely organized with the ability to anticipate requests and be proactive

Excellent written and verbal communication skills

Ability to stay focused, efficient, and effective in managing multiple priorities

Work effectively without supervision

Knowledge of Visio, iManage, Diligent Entities, Diligent Board Books, SEDAR or SEDI, is an asset

Knowledge of minute books and closing books, is an asset

Knowledge of trademarks, is an asset

Desire to learn

Team player – provide support to other groups when time warrants, during absences, holidays etc.
