About the Role
Roku is seeking a self-motivated, experienced Legal Billing Specialist to provide Legal billing and Legal Operations support. This role involves managing day-to-day operations for invoicing and electronic billing, providing matter management support, and collaborating with various stakeholders including attorneys, Finance, Accounts Payable, and outside counsel. You will also support process improvement initiatives and general Legal Operations tasks, working closely with key partners to streamline processes and implement solutions that drive efficiency across the Legal department.
For California and New York Only - The estimated annual salary for this position is between $100,0000 - $119,000 annually. Compensation packages are based on factors unique to each candidate, including but not limited to skill set, certifications, and specific geographical location. What you’ll be doing: Manage all aspects of billing matter management. Onboard new vendors, ensuring all required documents are complete and stored in the appropriate repository. Coordinate with Accounts Payable to ensure vendors are set up in the ERP system. Review matter set up in e-billing tool to ensure compliance with Accounts Payable invoicing requirements, rate agreements, and Outside Counsel Guidelines. Ensure matter participants are set up and assigned to matters in collaboration with law firms and other vendors. Maintain up-to-date billing information and records, and offboard obsolete vendors. Create and analyze reports to verify the e-billing process is running efficiently. Follow-up with the Legal team and outside counsel regarding outstanding action items, approvals, invoice rejections, accruals, and budgets. Audit invoices, including time entries and expenses, for compliance with Outside Counsel Guideline requirements (block billing, task codes, drop-in associate time etc.). Review e-billing matters to ensure metadata is correct before invoices are processed by Accounts Payable. Monitor monthly WIP, follow-up with non-compliant vendors, prepare reports to identify any issues or trend in WIP data. Conduct e-billing matter management training, as needed. Work on continuous process improvement initiatives to improve the E-billing process. Support other projects to ensure the Legal department operates smoothly, including document management, contact management, and office administration projects. Maintain the highest level of confidentiality of all financial and systems-related information. We’re excited if you have: Bachelor’s Degree or Associates Degree 3 – 5 years’ law firm billing experience is preferred. Three years of previous law firm experience handling client billing. Experience with e-billing platforms; experience with Legal Tracker is preferred. Experience working with contract and document management systems is a plus. Experience working with creating purchase requisitions in NetSuite is preferred. A high level of proficiency using MS Office: SharePoint, Word, Excel, Power Point and Outlook.
