This Executive Assistant role exists to support the law office’s efficient daily operation by managing client communications, scheduling, document preparation, and billing processes. The assistant will play a key part in reducing operational bottlenecks and ensuring that client interactions are timely and professional. By proactively managing these administrative and legal support tasks, the assistant enables the attorneys and staff to focus on casework and legal strategy, increasing overall firm productivity and client satisfaction.
The Impact you’ll makeEmail & Communication Management\nManage multiple client-group emails, ensuring prompt and professional responses.\nUse templated responses for frequently asked client questions and follow-ups.\n
Document & Calendar Management\nDraft legal and standard documents using available templates and legal document software.\nOrganize, monitor, and track court dates, hearings, and client consultations to avoid scheduling conflicts.\n
Client Relationship Support\nMaintain ongoing communication with clients through reminders and updates.\nEnsure intake forms and legal worksheets are completed thoroughly and accurately.\n
Administrative Operations & Billing\nOversee task management using Asana to monitor staff workflow and deadline adherence.\nAssist in preparing and sending invoices and collection letters using MyCase billing software.\n
Special Projects & Personal Tasks\nCoordinate events and staff recognition activities (e.g., Paralegal Day, holiday celebrations).\nProvide additional supportive tasks as needed for office operations.\n
