Our client in the legal industry is seeking a Legal Office Receptionist to join their team. As a Legal Office Receptionist, you will be part of the administrative team supporting the legal department. The ideal candidate will have excellent customer service skills, be professional, and have experience working in a mailroom or professional office environment.

**Location:** Grand Rapids, MI
**Pay Range:** $18
**What's the Job?**
+ Estimate runtime on the small to medium photocopy/print jobs. Check all copies produced for quality and accuracy. Produce bound copies of work when requested. Deliver and pick up copy/print jobs
+ Document scanning and routing.
+ Log outgoing and incoming items as required and review for accuracy/completeness
+ Operate facsimile machines; send and receive facsimiles. Keep complete and accurate logs of incoming and outgoing facsimiles. Where appropriate, input facsimile data into computer for client charge back
+ May provide minor maintenance of photocopy machine such as solving paper jams, placing service calls and routine cleanings
+ Due to changing technology will be required to learn new features and functionalities of copying machines, faxes, scanners and shipping equipment as introduced at the site
+ Cover front desk reception; route incoming calls, take messages and greet visitors
+ Receive, sort, and deliver all incoming mail & packages according to assigned floors and within established time frames. Wrap, seal, weigh, affix postage and dispatch all outgoing mail/packages in accordance with postal regulations. Prepare outgoing items for shipping
+ Prepare special outgoing inter-office pouches sent to client affiliates as scheduled (if applicable)
+ Package and process outgoing overnight items, i.e. Federal Express, UPS, etc., to meet client and vendor deadlines. Log and deliver incoming overnight packages within established time frames
+ Handle items for distribution for client employees, affiliates, dealers, etc
+ Move boxes, supplies or furniture; replace light bulbs
+ Organize and distribute supplies to client employees as detailed in job requests. Verify and log orders upon delivery. Monitor inventory of copy supplies, stock paper and toner and keep supply area neat (inclusive of convenience copiers)
+ Prepare/Maintain/ and retrieve active files from Records Center for client use as requested. Deliver files to clients within established time frames. Ensure returned files are properly logged and placed back in their proper location.
+ Prepare files to be sent for storage. When needed, arranges for files to be retrieved from storage.
+ Maintain cataloging process, procedures as well as rules and regulations
+ Evaluate current cataloging system for completeness, efficiency and usefulness by taking inventories and reviewing retrieval needs
+ Create files through data entry into file tracking software, apply labels to folders, inter-filing (by alphabetical order and sort by number
+ Set-up conference room for scheduled meetings
+ Disassemble conference room and store furniture and equipment
+ Organize and distribute supplies to client employees as detailed in job requests
+ Monitor inventory of equipment and supplies
+ Receive catering orders from vendors
+ Food service setup of catering in conference rooms as per order details
+ Ensure timely delivery of all catering orders
+ Maintain neatness and cleanliness of all catering supplies and stocking locations/pantries
+ Clean and organize conference room by removing food and catering supplies
+ Clean table tops, phones and dry erase boards
**What's Needed?**
+ Excellent customer service, professional attitude and appearance is a must.
+ Ability to interface with all levels of clients and have the ability to diffuse any difficult customer situations
+ Ability to work overtime and meet deadlines
+ 1-2 years’ experience working in a mailroom or professional office environment.
+ Ability to perform routine functions of various office equipment & systems (fax scanner, metering, stamping, tracking systems, photocopying, color copying, etc)
+ Knowledge of metering, weighting, logging and other shipping procedures.
+ Basic Computer skills. Knowledge of Microsoft Office suite preferred
+ Physical activity required including bending, reaching, lifting and prolonged periods of sitting or standing.
+ May lift and/or move up to 50 lbs.
+ High School Diploma or equivalent.
