Legal Operations Administration Specialist

As a Legal Operations Administration Specialist, you will be a member of the Legal Services team in Legal Operations and the role supports the back office day-to-day activities in order to ensure a smooth process flow with the internal clients.

Monitor contract/document-related workflows to ensure fully and timely progressionSupport contract and document execution in compliance with internal policiesCoordinate signatures using company’s preferred electronic signature software / collection of wet ink signaturesElectronic document filling in the company’s document repository and Contract Lifecycle Management systemsOrganization of notarial work (standard legalization activities)Management of e-mail distribution lists (DLs)General Office Management (act as the “go to” person for any facilities and IT related issues)Organization of meetings and events, travel and visa arrangementsDrafting, formatting and proofreading of business lettersSupport with locating/scanning documents for reports, court discovery procedures, investigations, KYC requests, etc.Support processes around Power of Attorneys, NDAs and CDAs and other related tasksDocumentation of administrative processes and support with process improvement initiativesMaintenance of Teams folders, SharePoint sites and related meta data, org charts and other files and repositoriesCoordination and support for training sessions, including preparation and subsequent tasks (such as tracking of attendees and other metrics, follow up with surveys, etc.)Support with facilitating Zoom and Teams meetingsCoordination and administration of various Legal Operations processes

You will be a great fit if you have:

At least 1-2 years of experience in an administrative role (experience at a law firm or legal inhouse department is a plus)Fluent English language knowledgeBachelor in business administration or related field or equivalent educationKnowledge of administrative legal and corporate processes would be an advantageProven track record of successfully working within local and international teams, sharing work and tasks with other team membersExcellent communication skills with internal and external stakeholdersProficiency in using MS Office Suite (including Excel, PowerPoint, Word), Teams, Zoom, SharePointExcellent organizational and time management skillsEnthusiastic, dynamic and positive approachDiscretion and confidentiality.
