Legal Operations & Compliance Associate
What This Position Is About:
The primary goal of this position is to support JTI USA in ensuring full compliance with federal, state, and local legal requirements for both JTI and its U.S. affiliates. This includes overseeing the Company’s processes related to tobacco certifications, licenses, reporting, document management, document retention, litigation discovery, corporate governance, and contract management. The ideal candidate will foster strong relationships with relevant regulators, demonstrate independence, exercise sound judgment, and effectively prioritize key projects.
Areas of Responsibilities:
Certifications: Manage the filing process for all documents to ensure compliance with the 1998 Master Settlement Agreement, Tobacco Control Act, Contraband Cigarette Trafficking Act, Prevent All Cigarette Trafficking Act, fire-safe certifications, USDA and FDA regulations, and other regulatory requirements.
Communicate with regulators, auditors, and administrative officials to ensure timely and accurate filing of applications, renewals, and related documents. Ensure all documents meet the required form and substance.
Licensing: Lead the process for obtaining, renewing, and terminating all necessary licenses, registrations, and certifications for JTI US entities.
Coordinate with legal teams to file documents ensuring entities can conduct business in all 50 states and local jurisdictions. Work directly with federal, state, and local authorities to ensure timely, accurate filings and maintain compliance with all regulatory requirements.
Reporting: Coordinate the preparation of all required monthly, quarterly, annual, and other periodic reports to comply with federal, state, and local requirements.
Collaborate with Global Tax and Finance teams to ensure reporting compliance. Lead development of databases and technological enhancements to automate reporting processes.
Corporate Governance: Perform corporate secretary duties, including preparing corporate governance documents (resolutions, meeting minutes, officer/director changes, incorporation documents).
Maintain the corporate governance database using JTI’s CSC Navigator software. Manage corporate annual filings and oversee processes related to governance compliance.
Compliance & Legal: Manage compliance tasks, including customer/vendor due diligence and document retention.
Assist with litigation support, including working with outside counsel on discovery and litigation databases, and performing other paralegal activities.
Who Are We Looking For - Requirements:
B.A. or B.S. degree, or 5 years of relevant experience Experience in filing financial data, sales reports, and/or applications for licenses Knowledge of the consumer goods industry and experience in highly regulated sectors Paralegal experience or background in tobacco/FDA-regulated environments preferred Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, SharePoint) and Acrobat; experience with SAP and government internet platforms a plus Strong analytical, research, written, and verbal communication skills Ability to work effectively in a team and demonstrate solution-oriented problem-solving skills Fluent in English
