Legal Secretary
Description A leading Oakland-based law firm is seeking a detail-oriented and proactive Litigation Legal Secretary specializing in Workers' Compensation to join their team on a contract-to-hire basis. The ideal candidate will have a strong background in litigation support, exceptional organizational skills, and the ability to manage multiple priorities in a fast-paced environment. This role requires expertise in California Workers' Compensation procedures and court rules. Responsibilities + Draft, format, proofread, and finalize legal documents, including pleadings, motions, correspondence, and discovery materials. + File documents electronically (e-filing) with California Workers' Compensation Appeals Board (WCAB) and other relevant courts. + Ensure all filings comply with California Rules of Court and WCAB-specific procedures. + Maintain litigation calendars, tracking court dates, filing deadlines, and statute timelines. + Schedule hearings, depositions, mediations, and other key litigation activities. + Coordinate attorney schedules to ensure no conflicts and timely submissions. + Communicate with clients, court personnel, and opposing counsel professionally and efficiently. + Serve as the liaison for case-related updates, scheduling confirmations, and document delivery. + Prepare and organize case files, maintaining both physical and electronic records. + Assist with billing, time entry, and expense reporting. + Coordinate travel arrangements and logistics for attorneys as needed. + Prepare trial binders, exhibits, and case materials. + Assist attorneys with last-minute filings, research, and trial-related tasks. Requirements Qualifications + 3+ years of experience as a litigation legal secretary, with a focus on Workers' Compensation preferred. + Familiarity with California Workers' Compensation processes, WCAB e-filing, and legal procedures. + Proficiency in Microsoft Office Suite (Word, Outlook, Excel) and legal software (e.g., iManage, Clio, or comparable tools). + Experience with e-filing + Strong understanding of California Rules of Court and Workers' Compensation-specific requirements. + Knowledge of legal terminology and procedures in Workers' Compensation law. + Excellent organizational, time management, and communication skills. + Attention to detail and ability to handle confidential information discreetly.
