Legal Senior Onsite Service Specialist

Position Profile: Provides hands-on support within a legal office environment, performing various office tasks such as copy, production, scanning, fax, mail and shipping, records support, floor support, hospitality assistance, conference room setup, scheduling, receptionist backup, and light facilities support. Requires strong presentation skills, interpersonal etiquette, and customer service skills to interact with senior attorneys, partners, clients, opposing counsel, vendors, staff, and others. Reports to a Site Manager, Site Supervisor, or Assistant Site Manager.

Job Duties and Responsibilities:

Understands client matter workflow, including charge backs for work, supplies, and hours. Familiar with legal technologies and software (e.g., document management systems, cost recovery, and charge back systems like Copitrak/Equitrac). Knowledgeable about legal records management processes and documents such as closing binders, depositions, transcripts, briefs, addendums, filings, discovery, judgments, and court systems. Assists with scheduling equipment, labor, and supplies for offsite trials.

Other Duties and Responsibilities:

Provides professional support to executive-level end users, including legal assistants, firm administration, project managers, paralegals, associates, and partners. Produces jobs and projects according to deadlines, maintaining composure and professionalism. Operates copier equipment, fax services, postage meter, and personal computer. Handles confidential, time-sensitive documents. Ensures quality and accurate reproduction, scanning, or project work. Coordinates projects completed offsite. Maintains logs for billing and calculates charges for work performed. Distributes incoming mail and packages, delivers completed work to designated areas, and handles shipping and receiving of materials. Performs filing duties, scanning, file conversion, file naming, encryption, FTP, OCR, and file formatting. Conducts daily quality checks on copiers, responds to errors, and manages copier areas. Organizes conference and meeting rooms, assists with office moves, and performs light maintenance duties. May require occasional overtime and off-hour emergency response.

Qualifications:

High school diploma or GED and 1-2 years of related work experience. Preferred: Minimum of 2 years' experience in the legal industry. Excellent customer service, personal, and communication skills. Violation-free, valid driver's license and auto insurance coverage per company policy.

Knowledge, Skills, and Abilities:

Working knowledge of copier and related equipment repair. Ability to use hardware and software for cost recovery, document management, and workflow. Knowledge of shipping/receiving procedures and basic electronics. Ability to work independently and flexibly. Troubleshooting and problem-solving skills. Excellent customer relations and verbal communication skills.

Working Conditions, Mental and Physical Demands:

Exposure to copier/fax machine noise, toner, and temperature changes. Exposure to various weather conditions and potential injury risks. Daily telephone/in-person contact with customers, employees, managers, and vendors. High stress due to tight deadlines and quick turnarounds. Physical effort involving standing, walking, bending, reaching, stretching, lifting up to 50 lbs., and moving machines up to 400 lbs.
