THE JOB

The Operations Manager is a critical role within the organization, responsible for overseeing a broad range of operational and contract management functions. This position will collaborate closely with the Division President and various departments, managing daily operations in areas such as Human Resources, Accounts Payable and Receivable, Office Management, and Special Projects. Additionally, the role will include contract drafting, review, and compliance, particularly for live events and artist agreements. The successful candidate will bring strong organizational skills, the ability to drive business operations, and a deep understanding of both the live events and entertainment industry.

WHAT THIS ROLE WILL DO

Contract Administration & Legal Support:Draft, prepare, and review a variety of contracts, vendor service agreements, venue agreements, and more.Ensure timely execution and compliance with contract terms, managing contract templates and revisions. Work closely with internal teams (Legal, Risk Management, Accounting) to ensure all contracts meet organizational and legal standards.Assist with contracts related to live events, festivals, private/corporate events, and artist showcases. Ensure all agreements are executed with the appropriate risk management and insurance protocols.Review certificates of insurance to ensure compliance with contractual requirements and assist with any insurance-related concerns.Human Resources & Employee Management:Work with Live Nation recruiters to support recruitment process for new hires. Manage the onboarding of new hires and assist in identifying professional development opportunities for existing staff.Act as a liaison between employees and Live Nation HR, provide coaching and mentorship, and escalate issues as necessary.Develop and maintain an internal Standards of Procedures Manual for all Neste Live! processes, ensuring efficiency and consistency across departments.Financial Management & Bookkeeping:Oversee the creation and tracking of invoices, ensuring proper categorization of income and expenditures. Collaborate with accounting teams to manage accounts payable and receivable, including artist deposits, purchase orders, and cash management.Prepare basic financial reports for accounts receivable (AR) and accounts payable (AP). Support budget updates and work closely with management to ensure adherence to financial targets.

Office Management & Systems Integration:Track office supply usage, manage inventory, and oversee procurement. Ensure efficient and organized office operations.Oversee the management of internal digital filing systems, including Box, and support the implementation and updates of internal booking software systems.Track and manage all annual subscriptions and renewals for office tools and software, ensuring continuity of operations.

Event Coordination & Special Projects:Coordinate and manage logistics for artist showcases, events, and meetings, including securing venue spaces, advancing artist production needs, managing guest lists, and coordinating catering.Oversee and manage special projects, particularly for Neste Live! produced events. Act as a project manager, ensuring all projects meet deadlines, budgets, and organizational goals.Identify opportunities for improving operational efficiency, automation, and workflow processes, ensuring optimal performance across departments.

WHAT THIS PERSON WILL BRING

Bachelor's degree in Business Administration, Business Management, or a related field. A minimum of 3 years of experience in the live events, music, or entertainment industry, with at least 2 years of experience in a manager or executive assistant role.Proficiency in MS Office Suite (Excel, Word, PowerPoint, Outlook), Google Drive, Salesforce, and other digital platforms. Familiarity with Box, accounting software, and event management tools is highly desirable.Excellent written and verbal communication, with the ability to interact effectively with employees, clients, legal counsel, vendors, and senior management.Strong organizational skills with the ability to prioritize multiple tasks, meet deadlines, and manage a high volume of contracts and operational responsibilities.Proactive in identifying challenges and implementing solutions to streamline processes and improve business operations.Ability to manage sensitive and confidential information with discretion and professionalism.Additional Requirements:Willingness to travel for events and work evenings or weekends as required.Ability to thrive in a fast-paced, high-pressure environment while maintaining attention to detail.
