About the role: The Logistics Coordinator will be placing material and hardware orders requests from internal project managers directly with vendors, reporting status, tracking process documents and escalations from internal teams. The logistics coordinator will oversee material and hardware orders from start to finish with extremely sharp attention to detail for the Enterprise Events and Mid-Market events teams. You will be responsive, detail-oriented, organized, and persistent to drive closure on actions and stay ahead of shipments. Applicants should be eager to learn, as gaining general knowledge of our event business will help make this individual successful. An above-average working knowledge of PC based hardware and Microsoft office tools such as Excel and Word as well as computer system skills are essential and best-in-class service. In This Role, You Will: 2+ years of event delivery experience is highly desired. BA or BS is not required, but highly preferred. Outstanding organizational skills and a skilled multitasker. Strong project management skills Require excellent Interpersonal, presentation, verbal, and written communication skills. High proficiency with Excel, Power Point, and Salesforce (Financial Force preferred). Must be able to quickly learn and implement new and complex ideas and relay those concepts to others. This is an extremely fast-paced role. Must be able to act independently, communicate often, and not be afraid to pull in additional help from management when needed. Here's What You Need: Report on equipment usage by event Measure success and failure rates of shipments, materials, and hardware Quantify which events that had all equipment and materials they required and report when service level was not met. Quantify equipment that was sent back from an event missing or broken, not appropriately shipped, etc. Work directly with PMs to ensure material and hardware orders are completed and correct. Review and respond to email request in ordering distribution. Upload order confirmation, tracking and order status into Sales force or other applicable software. Create pack lists for all events needing hardware and materials. When materials and hardware do not come from Cvent supplies, place orders with vendors. Update leaders when hardware and materials scope of work is changed. Review PO vendor burn, amounts and invoices. Monitor and respond to Slack support channel. Liaise with shipping vendors. Ensure service and pricing levels. Coordinate pick-ups/deliveries of materials and hardware. Get quotes for shipments and materials as requested by sales and PM’s. Ensure numbers are consistent. Supplies needed lists weekly are the responsibility of this position. Badge inventory supplied to Finance monthly. Create PO’s, review invoices, confirm rates, and approve invoices.
