Job Summary:
The Procurement and Logistics Coordinator is responsible for overseeing the procurement of goods, services, and supplies while ensuring smooth logistics operations for our outgoing orders. This role focuses on ensuring the timely and cost-effective acquisition of goods, coordinating shipments, maintaining vendor relationships, and optimizing supply chain efficiency. This role also focuses on ensuring the timely and cost-effect delivery of orders to customers. The coordinator will work closely with suppliers, vendors, and internal teams to ensure compliance with company policies, budget, and project timelines.
Key Responsibilities:
Procurement Coordination:
Implement procurement strategies to source materials, goods, and services in line with company objectives. Identify, negotiate, and maintain relationships with suppliers and vendors. Conduct market research to evaluate and compare vendor prices, delivery times, and product quality. Prepare and process purchase orders, contracts, and agreements. Ensure timely and accurate purchase order deliveries, addressing any discrepancies.Logistics Coordination:
Coordinate and monitor inbound and outbound shipments, ensuring timely delivery. Work with freight forwarders, carriers, and third-party logistics providers to optimize shipping routes and methods. Oversee inventory control and warehouse management to maintain accurate stock levels. Handle customs clearance, import/export documentation, and compliance with international shipping regulations. Track shipments, resolve delays or issues, and communicate updates to relevant stakeholders.Vendor and Supplier Management:
Develop long-term partnerships with key suppliers to ensure consistent product availability. Monitor vendor performance in terms of pricing, quality, delivery, and service. Negotiate terms, contracts, and agreements with suppliers, ensuring favorable terms for the company. Conduct regular supplier evaluations and assessments to ensure compliance with company standards.Budget and Cost Control:
Maintain budgetary control over procurement and logistics expenses. Identify cost-saving opportunities and work to reduce expenses without compromising quality or service levels. Prepare financial reports and analysis related to procurement and logistics costs. Collaborate with the finance department to ensure timely payment of invoices and accurate bookkeeping.Compliance and Risk Management:
Ensure compliance with local, national, and international laws and regulations regarding procurement and logistics. Manage risks associated with the supply chain, including geopolitical factors, supply shortages, and pricing volatility. Ensure that all procurement and logistics activities meet safety, quality, and sustainability standards.Cross-Functional Collaboration:
Work closely with internal teams such as management, engineering, production, sales, and finance to align procurement and logistics with operational needs. Support the development of procurement policies and procedures, and train staff on best practices. Provide regular updates to management on procurement activities, logistics operations, and performance metrics.Key Qualifications:
Degree in Supply Chain Management, Business Administration, or related field.OR
3+ years of experience in procurement, logistics, or supply chain coordination. Strong negotiation, communication, and relationship-building skills. Proficiency in ERP systems. Knowledge of international shipping and customs regulations. Excellent problem-solving and organizational skills. Ability to work under pressure and manage multiple projects simultaneously.Work Environment:
Primarily office-based with occasional visits to supplier locations, warehouses, or shipping facilities. May involve occasional travel, particularly for international procurement and supplier evaluations.IND456
