About the Role

The Senior Logistics Coordinator contributes to HARMAN’s Order to Cash and revenue recognition process by managing delivery execution of Customer Orders. The Senior Logistics Coordinator plays an essential role in customer order fulfilment operations by shipping the products to customers. She/He supports the activities of the regional distribution center in California, as well as manufacturing and customer service direct shipments from Tijuana / San Diego. Key internal partners are regional Sales Operations and Customer Care teams, Global Trade Compliance, Finance.

What You Will Do 

Order to Cash process.

The Logistics Coordinator converts Sales Orders to Delivery Notes and works with the warehouse / customer service / manufacturing to ensure order fulfilment is in line with the delivery promise and order parameters. Your will

Collaborate with regional Sales Operations (Asia, EMEA, Central America, South America, Canada) on open orders of managed customer accounts; ensure integrity of customer open order book for delivery execution.

Manage delivery plan for customer accounts under your purview, maintaining SAP dates to reflect consistency.

Coordinate with Customer / Sales Operations to consolidate orders / deliveries to optimize transportation. Maintain daily/weekly/monthly reports for key accounts.

Create and coordinate execution of Delivery Notes

Coordinate with internal stakeholders (Finance, Inventory, Quality) to manage a transparent customer shipping schedule with known constraints (blocks, holds, shortages)

Coordinate product returns and financial handling of logistics issues with Sales Operations

Handle Logistics escalations from Customer Care, apply quality mindset when responding to complaints, and ensure claims are properly recorded with service providers.

Make to Deliver process

The Logistics Coordinator ensures that downstream logistics / order fulfilment is in line with the Customer agreement, and it is done to a high professional standard. In this role, you will

Arrange outbound transportation from Harman DC according to the commercial agreement and the customer’s order.

Select and coordinate appropriate mode of transportation and service level.

Quote nonstandard transportation, communicate costs to Sales Operations and get alignment on cost responsibility.

Understand and administer customer specific logistics requirements. Ensure these requirements are available to execution using the standard formats and systems.

Collaborate with the customer and/or customer assigned freight forwarder for punctual cargo pickup. Coordination may require using customers’ shipping / logistics portals or systems.

Collaborate with Harman’s 3PL and 4PL to ensure timely cargo pickup for transportation.

Create shipping documents for international transportation, in line with industry standards and in conformity with any special regulations of the destination country

If Harman is the Exporter of Record, ensure export authorization is obtained, export documentation must meet all requirements.

Collaborate with Global Trade Compliance and other functions to obtain any required certificate, classification, and approval for shipping. You are responsible to ensure Harman’s compliance and execute controls as exporter.

Ensure cargo has all necessary documentation for the selected mode of transportation and in alignment with the Incoterms.

Track and trace time critical shipments, provide transparency to customers on expected dispatch / arrival dates.

Upon request, provide shipping documentation to customers.

Handle customer quality complaints, record and report incidents, support root cause analysis and provide timely, comprehensive feedback to Customer/Sales.

Manage Loss & Damage claims with carriers.

What You Need

High School Diploma and 5+ years of logistics/shipping experience

Experience in international trade as exporter/importer

Knowledge of international transportation, modes, solutions, freight forwarders, airports/ports

Knowledge of country specific rules and requirements for assigned territories

Should have strong working knowledge of inventory control, warehousing, and material handling procedures and practices.

Experience with SAP ERP system, Microsoft Dynamics CRM, Warehouse management systems (WMS) and Transportation Management Systems (TMS)

English – excellent written and verbal skills. Spanish / Portuguese / Japanese / Chinese as 2nd language preferred.

High sense of urgency, with ability to prioritize tasks.

Excellent communications skills (verbal and written English), customer facing role.

Organized, detail oriented and must be able to maintain accurate records.

Ability to use different tools, systems and assimilate information from various sources of information.

Willingness to work across time zones / support customers in assigned region.

Salary Ranges:

$ 44,250 - $ 64,900
