Logistics Invoice & Process Junior Specialist

We are looking for a motivated professional to join our Accounts Payable Team as a Logistics Invoice & Process Junior Specialist, who will be responsible for managing logistics-related financial processes, including invoice processing, reporting, and cost control. This role ensures the accurate execution of logistics services and supports business leaders in optimizing workflows and cost efficiencies.
Key Responsibilities
Process logistics invoices via SAP workflow, including rate and quantity validation, account assignment, and discrepancy resolution Validate and code extra costs and warehouse invoices Establish and maintain effective communication with internal and external stakeholders, including logistics partners, to address discrepancies and clarify issues (via phone/email) Process invoices to appropriate accounts and input required data fields Analyze workflow to monitor aging invoices, issue reminders, and prevent overdue documents Support freight cost monitoring Analyze monthly financial figures and trends Coordinate with internal Sappi departments regarding unexpected charge fees Support the preparation and management of logistics contracts and agreements Verification of invoice compliance with agreements and maintaining agreement records to ensure all supplier contracts are available and monitored for validity periods to prevent expiration Monitoring existing robots in the process and working on scope expansion to introduce additional automation Participate in and partially manage projects (e.g., design change requests, implementation of credit memo procedures with logistics service providers)
Your profile
Bachelor's degree (or in progress) in Business Administration, Engineering, or equivalent work experience in logistics or accounting Preferably professional experience in logistics, administration, freight forwarding, or accounting Strong communication skills and assertiveness Commitment to the company and its values Reliability and trustworthiness Customer-oriented mindset Structured and forward-thinking approach to work Team player with a proactive attitude Proficiency in SAP, Outlook, and MS Office Good written and spoken English; German language skills are a plus

In Krakow office we work in a hybrid working model; as this position delivers high impact on-site, we expect you to be present in the office at least twice a week.
