MAC Coordinator (Relocation Project Coordinator)

Pay: $60000 - $75000 / year (paid hourly)

Schedule: M-F; 9a - 5p (OT required for moves approximately 2x / month; typically Friday evenings, occasionally weekends)
Locations: 770 Broadway, Hudson Yards, Farley Building | NYC

The Move Coordinator is responsible for the outcome of the move processes, customer satisfaction, move communication, as well as transparency and reconciliation of costs associated with all move-related activities. Responsibilities of this role include but are not limited to, coordination and execution of small and large office moves and changes. This role requires physical labor; being able to lift up to 50lbs, being on your feet for long periods of time during moves/projects and handling a variety of different items (delicate, high priced, personal, etc). The candidate will also be responsible for the upkeep of storage locations, team inventory and updating databases. The Move Coordinator may also be responsible to manage the client locker program. This role has an expectation of 5 days onsite with overtime and weekend work when required.

Primary Duties/Responsibilities

Daily Activities

Work with key stakeholders to understand the scope of the projects

Update trackers and other folders/documents as needed

Vendor engagement and management

Handle all personal items related to employees who have left the company, employees who have transfers to another site or to remote working.

Potential for travel to East sites (dependent upon project needs)

Involves movement between departments, floors, and properties

Space audits and reconciliations

Storage audits, and management

Work a minimum of 40 hours per week; overtime related to projects

Create, respond and manage internal client tickets

Oversee client locker program

Move Activities

Personally execute moves of up to 20 users 

Coordinate freight and access for vendors 

Execute check-outs, check-ins, assist with managing all locations, ensure the accuracy of the physical and digital space plans

Mandatory to be onsite with vendor during the move.

Ensure move data is accurate; compile and scrub

Work within the move management platform

Deliver boxes, move labels, post pin ups, & deliver move instructions.

Provide feedback to vendors and cross-functional teams

Coordinate project needs

Submit and/or monitor service tickets for furniture pieces (desks, chairs, pedestals, keys).

Working alongside and coordinating with other workstreams and project leads to complete scope of work.

Reading and understanding floorplans, schematics, workflow schedules and other project related documents.

Post Move Follow Up

Provide welcome communications with information on new location and site services.

Investigate and resolve any issues related to lost or misplaced items

Schedule vendor for scrap pick up, recycle or reuse excess furniture, and remove chairs

Coordinate pick up of crates and/or boxes.

Review seat assignments for accurate reporting

Other projects, special assignments, and administrative duties as assigned


 

Experience & Key Competencies:

Experience

At least 2 years experience in a corporate environment preferred, college experience a plus

Experience leading meetings and speaking in front of large groups

Must have familiarity with Microsoft suites and Google suites

Familiarity with architectural drawings and furniture are a plus

Experience working within a space and move management platform/tool

Experience working in a fast paced environment and display the comfortability to pivot when needed.

Skills

Proficiency in a range of information technology tools and platforms.

Strong analytical, organizational, and presentation skills.

Excellent written and verbal skills

Flexibility with work hours and travel as needed

Ability to multitask
