Field Representative II, Cross Functional POSITION PROFILE

Supports the daily operations of one or more MS locations, including any or all of the following:

Copy production and finish work Operation of a mail center Receptionist duties Administrative tasks as assigned

Supports the region's MS logs and reports, assists with MS services during implementation, and fills in for absences and vacations throughout Ricoh locations. Also assists in the start-up of new accounts. Responsible for supporting operational objectives at all existing customer sites within a geographic territory. This position reports directly to the Site Operation Manager or the IAM, depending on marketplace personnel configuration.

 

JOB DUTIES AND RESPONSIBILITIES

The position will be based in the Baltimore office, but the employee may occasionally need to travel to our Towson location. This person will also support the reception desk periodically, so strong interpersonal skills, a professional appearance, and comfort interacting with firm leadership are essential. Since this role is very client-facing and situated in the firm’s main office, do you think a title that reflects a more customer-focused presence might help attract stronger candidates? I’m open to your thoughts on that. Assists new MS site implementation Assists Site Manager or Supervisor in offering suggestions for improvement (new or existing processes) Assists in the training of new and existing employees Maintains accurate, complete, and up-to-date Site Procedure Guides, Forms, Logs, and other Site Branding as directed Collects data for the Monthly Management Report as directed Orders paper, toner, and other supplies as directed In the absence of onsite personnel, may perform any of the following duties: Processes all incoming and outgoing mail Performs mailroom functions such as mail fulfillment, sorting, filing, packaging, and processing shipments Filing and labeling documents and other materials for storage and retrieval Shipping and receiving, including the movement of boxes and equipment Assists in the Copy Center, including binding, laminating, and related functions Performs basic troubleshooting on all Ricoh equipment Coordinates work assignments to meet deadlines and service deliverables Manages all aspects of the Ricoh Center in the absence of the Site Manager or Supervisor Performs Front Desk Receptionist duties  

QUALIFICATIONS (Education, Experience, and Certifications)

Typically Required:

High school diploma plus 6-12 months of related work experience Valid, violation-free driver's license along with reliable transportation and minimum levels of auto insurance per Ricoh policy Experience with shrink-wrap, paper cutters, hole drillers, bindery equipment, joggers, tape machines, electric staplers, scales, collators, and related equipment Experience with postage meters and mail-processing equipment  

KNOWLEDGE, SKILLS, AND ABILITIES

Ability to use and troubleshoot mailroom equipment Strong organizational skills Good communication and customer service skills  

WORKING CONDITIONS, MENTAL AND PHYSICAL DEMANDS

Typical Office Environment:

Adequate lighting and ventilation, with normal range of temperature and noise level Diversified work assignments requiring interpretation, comprehension, and application of complex material and instructions Some physical effort required, including extended periods of standing, walking, bending, reaching, and lifting/moving items up to 50 lbs. Pushing or pulling machines on wheels (weighing up to 400 lbs.) for repair-related movement Possible walking between buildings as needed Moderate dexterity required (calculator, keyboard, hand tools, and eye/hand coordination)
