Maintenance Inventory Specialist

The University of Virginia is seeking a Maintenance Inventory Specialist to contribute to the Energy and Utilities Heat Plant team of Facilities Management.  The University of Virginia at Charlottesville has over 18 million gross square feet of learning, research, residential, and support space across a geographically dispersed 1175 acres.  Facilities Management is comprised of 1200 skilled and talented individuals who are dedicated to service excellence.  We are responsible for the day-to-day operation, repair, and maintenance of UVA’s buildings, infrastructure, and grounds, in addition to managing capital construction and renovation for University-owned and leased properties.

The Maintenance Inventory Specialist will serve in a critical role to enable organizational success, working through complex and rewarding near- and long-term goals.  The University is built on a district energy model, with one main heat plant, three combined heating/cooling plants, nine chiller plants, hundreds of miles of (steam, hot water, chilled water, potable water, sanitary, and stormwater) distribution, and an internal medium voltage electrical distribution grid anchored by three 35kV to 13kV substations.

Position Summary:

The Maintenance Inventory Specialist will plan, coordinate, and procure materials and resources. Supports Heat Plant operations in maintenance and, repair and replacement of industrial equipment including but not limited to pumps, motors, fuels, electrical and instrumentation components, etc. They perform a wide range of responsibilities to assist with projects or events, manage schedules, coordinate with customers and stakeholders, develop cost estimates, make recommendations to Managers, acquire materials and equipment, and meet customer expectations. They collaborate with Facility Managers, Facility Coordinators, and maintenance, operations, instrumentation and control personnel, and they perform duties mostly independently to provide customer service and execute repairs and projects.

Responsibilities:

Manages all repair parts and related hardware and equipment inventory to include cycle counts, ordering/purchasing, kitting materials for jobs, and inventory management actions.

Coordinate inventory control and storage both physically and in the CMMS system. Duties and tasks reflect substantial variety in complexity ranging from replenishing inventory, quality checks, to maintaining records.

Develop and foster relationships with service providers, stakeholders, vendors, and facility users.

Prepare and issue all purchase requisitions and purchase orders necessary to support maintenance and operations.

Assists in the planning and scheduling of systems repair work.

Provide training to staff members regarding standards, procedures, techniques and expectations including all aspects of job requirements and safety.

Periodic analysis of stock utilization trends and expenses.

Skill in use, care, and safety of store or warehouse equipment, including forklifts.

In addition to the above job responsibilities, other duties may be assigned.

Required Qualifications:

High school diploma or equivalent.

2 years of related experience

Preferred Qualifications:

Associate’s degree or equivalent post-secondary coursework preferred.

4 years of progressive experience

Electrical and mechanical skills, and a demonstrated ability to teach others.

Warehouse and/or procurement experience.

Experience with computerized maintenance management system (CMMS), inventory, and/or scheduling systems.

Strong analytical, problem-solving and troubleshooting skills.

Experience in working with outside contractors and vendors.

Compensation: 

The Anticipated Hiring Range is $26 - $34 per hour ($54,080 - $70,720 annually); Candidates who meet or exceed preferred qualifications may be eligible for additional compensation, commensurate with experience and skills.

For this position, the selected candidate will need to complete the required background checks prior to the start date of the position.  

Physical Demands:

Employee will be required to crawl, kneel, squat, bend and twist in order to perform their work.

Employee will spend a great amount of time on a computer. This job does occasionally require traveling some distance to attend meetings, and programs.

Employee must walk around utility plants including use of ladders and stairs.

Employee will work with materials of different weights and perform repetitive motions.

Ability to lift 50 lbs.
