Job Title: MALL ADMINISTRATOR

Job Summary: As a Mall Administrator, you will be responsible for overseeing the efficient and effective operations of a shopping mall. You will focus on creating a positive and enjoyable experience for tenants, visitors, and shoppers while driving revenue and maintaining a high level of safety and security. This role requires strong leadership and organizational skills, as well as the ability to work collaboratively with various stakeholders.

PRE-OPERATIONS

Pre-Opening Preparations:

Collaborate with the project management team to ensure that the mall construction and fit-out progress according to schedule.Coordinate with contractors, vendors, and authorities to obtain necessary permits and certifications for the mall's operation.Oversee the setup of infrastructure, systems, and utilities required for the mall, including HVAC, fire safety equipment, electrical works, and IT infrastructure.Support Testing and Commissioning activities of all equipment and system in the projectDevelop and maintain a detailed checklist of pre-opening activities and ensure completion within established timelines.Conduct regular site inspections and monitor progress to identify and address any potential issues.

Tenant Onboarding:

Establish and maintain strong relationships with tenants throughout the onboarding process.Coordinate with leasing teams to ensure a smooth transition from lease signing to tenant setup.Facilitate tenant permits, licenses, and approvals as per mall guidelines and local regulations.Provide guidance and support to tenants regarding store setup, fixtures, and fit-out requirements.Conduct orientation sessions for tenants to familiarize them with mall policies, procedures, and operational guidelines.

Operational Setup:

Collaborate with operations teams to set up operational processes, policies, and procedures in alignment with company standards.Liaise with vendors to ensure equipment and technology installations, such as point-of-sale systems, security systems, and lighting, are completed on time.Coordinate with marketing teams for the implementation of marketing and promotional initiatives during the pre-opening phase.Develop and manage the pre-opening budget, tracking expenses and ensuring cost-effective solutions.

Training and Team Coordination:

Collaborate with HR and training departments to develop and implement orientation and training programs for mall staff.Coordinate with various departments to ensure cross-functional alignment and communication during the pre-opening phase.Provide guidance and support to the mall management team and assisting staff in their respective roles and responsibilities.

REGULAR OPERATIONS

Tenancy Management

Address tenant concerns, inquiries, and requests in a timely and professional manner.Ensure compliance with lease agreements and handle tenant lease negotiations and renewals.Conduct premises inspection and regular high-level discussions with operating tenants to tackle operational issues and concerns

Mall Operations:

Oversee day-to-day mall operations, including maintenance, repairs, cleaning, and security.Develop and implement operational policies and procedures to maximize efficiency and enhance the shopping experience.Coordinate with contractors and vendors to ensure quality services and adherence to standards.Manage the mall's overall budget and make recommendations for cost-saving initiatives.

Safety and Security:

Ensure a safe and secure environment for staff, tenants, and visitors.Develop and implement emergency response plans and procedures.Coordinate with local authorities and emergency services as required.Conduct regular safety audits to identify and rectify potential hazards.

Financial Management:

Monitor and review financial performance, including rental income, operating expenses, and capital expenditure.Prepare financial reports, budgets, and forecasts.Analyze financial data to identify areas for improvement and cost-saving opportunities.Collaborate with the accounting team to ensure accurate and timely financial transactions.

Qualifications:

Bachelor's degree in Engineering (Licensed Electrical or Mechanical), Business Administration or Marketing, or a related field (preferred).Proven experience in mall or commercial property management.Strong knowledge of mall operations and industry trends.Excellent communication and interpersonal skills.Strong leadership abilities and the ability to build and maintain relationships with stakeholders.Solid understanding of financial management principles.Proficient in using property management software and Microsoft Office Suite.
