Management Assistant

What’s the role?

As the Management Assistant, you will provide administrative support for the VP - Commercial Integrated Gas Australia (IGA), in addition to assisting the overflow administrative work from the Commercial and Economics Leadership team (CELT). You will be a key focal point, providing office administrative support across both teams who play an integral role in delivering commercial value for Shell in Australia. 

As part of this team, you will have the ability to promote inclusive behaviours and contribute towards a working environment where different views and perspectives are valued.

Purpose:

This role will incorporate a vast range of responsibilities, including but not limited to:

Arrange business travel logistics (car/hotel/venue bookings)

Support compliance with relevant HSSE requirements 

Process expense claims in Concur

Assist with time writing

Preparing travel budget reports 

Schedule and coordinate team meetings and arrange meeting room bookings

Assist with the setting up virtual Webcast sessions (room booking, invitations) 

Greet external visitors and assist with registration and building orientation

Support the onboarding for new joiners across the two teams

Support with IT issues or raise queries and tickets on behalf of the team

Support information management activities i.e. maintaining & updating documents and databases, record management and updates on share point

Maintain the required level of confidentiality in accordance with Shell policy when managing sensitive data

What we need from you

To be successful in this role, you will have experience in a similar position ideally within a similar large operational organisation, as well as:

Tertiary qualification or equivalent professional qualification preferred

Sound communication skills with both internal and external parties and the ability to interact across all levels of an organisation including senior management

The ability to handle sensitive matters with integrity & discretion

High level of organisational skills, the ability to multi-task and work within tight deadlines balancing competing priorities

Capability to work under pressure and independently

Attention to detail

This role is open to candidates that hold permanent working rights for Australia and will be Perth based.
