This role may assign and oversee the completion of daily tasks of administrative and clerical staff. Essential Functions + Performs detailed fact gathering, data compilation, and report writing on budgets, organizations, personnel staffing, operations, and administrative systems + Studies management methods to improve workflow, simplify reporting procedures, or implement cost reductions + Analyzes operating practices such as recordkeeping and associated systems, forms control, office layout, suggestion systems, personnel requirements, and performance standards to create new systems or revise established procedures + Coordinates collection and preparation of operating reports such as time and attendance records, terminations, new hires, transfers, budget expenditures, and statistical records of performance data + Prepares and presents reports including conclusions and recommendations for solutions to administrative problems or procedures + Receives requests and complaints from the public concerning administrative actions of the Commission + Channels the requests to appropriate officials, follows up on corrective actions, and ensures replies to inquiries are provided + Prepares, monitors and controls annual budget submissions and provides up-to-date status reports on expenditures, projects and related items + Issues and interprets operating policies + Represents their manager at meetings he/she is unable to attend + Reviews memoranda, reports and similar material to summarize and make recommendations concerning same + Coordinates the schedules of professional/management individuals and arranges for meetings with third parties + Provides support to contract managers from requisition creation through invoice processing and change orders Other Functions Performs related duties as required.
