We are seeking a diligent and proactive Management Systems Specialist to oversee the creation, revision, and control of document retention and control procedures. This role involves maintaining and assisting with the implementation of an electronic document management system, ensuring the accuracy and availability of critical documentation, and supporting process safety information and legal documentation requirements.
Responsibilities
+ Oversee the creation, revision, and control of document retention and control procedures.
+ Maintain and assist with the implementation of an electronic document management system across the organization.
+ Identify and participate in improvement, system enhancements, stability, and upgrade projects, adhering to established system change control policies.
+ Ensure process safety information, legal documentation, and regulatory required documentation are accurate, updated, and available as needed.
+ Log, prepare, scan, index, revise, and distribute controlled documents in a timely manner.
+ Prepare mass data/document extraction for project development and/or execution.
+ Maintain records, logs, files, indices, forms, and other documents identified for controlled inventory.
+ Perform data entry and periodic analysis to maintain and update the electronic document management system for document indexing and search capabilities.
Essential Skills
+ Experience in document control, records management, or clerical area (1-2 years).
+ Proficiency in data entry and document control procedures.
+ Strong time management skills and reliability.
+ Ability to work independently without the need for micromanagement.
+ Experience with systems such as OnBase or D365.
+ Proficiency in Microsoft Office applications.
+ Experience with filing, scanning, and quality systems.
Additional Skills & Qualifications
+ A minimum of an Associate’s Degree or an equivalent combination of experience in a technical related field.
+ Experience with SharePoint and OnBase is highly desired.
Work Environment
This role typically involves working in a standard indoor office environment, with occasional work performed in industrial and chemical settings. The position offers the opportunity to learn from an experienced team within a growing company.
Pay and Benefits
The pay range for this position is $18.00 - $23.00
