Inviting applications for the role of Management Trainee/ Assistant Manager – Logistics (Admin Support / Admin Executive / Travel Desk Specialist)
We are seeking a proactive and organized Admin Support professional to join our DBB APAC team on a contractual basis. This position will be responsible for assisting with various administrative functions including visa appointment coordination, flight ticket booking assistance with MMT Portal, and handling a range of other ad hoc tasks. The ideal candidate will possess strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently.
Responsibilities
• Visa Appointment Coordination: Manage and coordinate visa applications and appointments for employees at DBB APAC Deployment Hub, ensuring all documentation is prepared and submitted on time.
• Flight Ticket Booking Coordination: Case to Case basis assistance in the booking of flight tickets, including coordination of travel schedules and ensuring all travel arrangements are aligned with the organization’s needs.
• Administrative Support: Provide general administrative assistance as needed, including handling correspondence, scheduling meetings, managing calendars, and filing documents.
• Ad hoc Tasks: Take on various administrative and operational tasks as required by the team, which may include organizing events, preparing reports, or other duties as assigned.
• Vendor Liaison: Coordinate with external vendors (such as travel agencies, embassies, etc.) to ensure smooth execution of tasks.
• Record Keeping: Maintain organized records of all administrative processes, including visas, flights, and other travel-related documents.
• Communication: Serve as the main point of contact for administrative-related queries at DBB APAC Deployment Hub Floor and act as a liaison between various departments or external partners.
Qualifications we seek in you
Minimum Qualifications
• Graduation/ Masters
• Relevant years of Administration overseas travel desk experience preferred
• Minimum Graduate: additional certification in administration, Mobility or a related field is a plus.
• Previous experience in administrative support, travel coordination, or office management is preferred.
Preferred Qualifications/ Skills
• Proven experience in an administrative support or similar role, primarily in Visa appointment and flight ticket coordination.
• Strong organizational and multitasking abilities.
• Excellent communication skills (both written and verbal).
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Attention to detail and ability to work with minimal supervision.
• Ability to prioritize tasks and work under tight deadlines.
• Experience with international travel coordination (visa processing, flight bookings) is a plus.
• Flexibility to adapt to varying tasks and responsibilities.
