Manager, Administration & Shift Operations

General Summary:

Perform diversified administrative duties for smooth operations. Responsible for leading switchboard, Time office, catering facility, security, Travel and hotel accommodation, employee transportation, maintenance of office equipment, stationery and stores and carrying out special projects.

  How You'll Help Us Connect the World: Attend Management Staff Meetings and close out on relevant action items pertaining to Admin functions. Prepare for customer visits, presentations etc., arrange hospitality (Tea/Lunch/Dinner), visits to other places of interest, and generally assist as the need arises. Conferences arranged both in-house and external locations. Control general stationery and printing under Bonded Stock system - Includes checking reported usage against accounts to ensure cost control. Requisition various other stationery items not on bonded stock. Requisition for special printed stationery (letterheads, envelopes, forms etc.); also collaborate closely with Business Units and Marketing regarding any changes required in logo, layouts, quality of paper etc. Reports any monthly photocopier meter readings, order supplies, report faults. Advise departments and entities of administrative procedures and activities. Update and issue ATGI telephone lists. Control use of Board/Conference Rooms for Meetings etc. Responsible for cost effective travel and transport arrangements (Buses, Cars etc) within the Company including any requirements or changes etc. requested by visitors to Plant (Entity, Customers etc.). Meet regularly with representatives from Travel Agency to discuss costs, service, etc. with a view to achieving maximum benefits on overall travel. Meet with Hotel Sales Executives to arrange corporate room rates; visit hotels to ensure caliber required and the facilities available. Create good working relationships with hotel management and staff to ensure continued good service for benefit of guests. Ensure cost effective solutions for hotel accommodation. General administration of Canteen along with canteen committee and monitor costs to control and minimize the same. Ensure that canteen facility and caterer aligns with all required requirements under Food Acts and the Health, Hygiene and Safety Regulations relative to the preparation and provision of food. Facilitate customer meals etc. as required. Liaise and/or co-ordinate with Human Resources in arranging and preparing for special events/projects/training, e.g. Company events etc. Responsible for maintaining optimum stock and issue of employee uniforms, safety shoes, safety glasses, etc. Responsible for Admin. Notice Board management and maintenance. Ensure statutory compliances. Liaison with Govt. machinery where required. Responsible for purchase of Reward and recognition gifts as per policy. Overall, in charge of Time office of employees. Ensure accurate data is submitted to Payroll. Liaise with regional offices on attendance and leave matters. Responsible for efficient and effective functioning of Security in the establishment and warehouses. Good liaison with police personnel and other govt. agencies and assist in IR situations. Generate and implement innovative cost saving ideas in the admin. function. Any other relevant job assigned by the management.   Required Qualifications for Consideration: Graduate & postgraduate with relevant proficiency and skill for the job.  Preferably 15 + years of proven experience.   You Will Excite Us If You Have: Excellent communication & negotiating skills. (Manage disputes, able to reach helpful agreement, build productive relationship with collaborators) Computer savvy. (Ability to work on applications/software, office tools, specialised application) Good understanding of Admin systems and processes.
