Summary USIC is seeking a Bid and Proposals Manager to drive and lead the proposal development and contract lifecycle processes. This role will report to the Director, Revenue Operations Deal Desk and is a vital part of the Sales & Revenue Operations team. This is a high-impact role that supports the entire organization through the contract lifecycle. This role works with the sales, operations, finance, legal, and other supporting teams to drive the process flow of deals through to proposals and implementation. This role will be instrumental in driving collaboration and clarity through the deal flow while ensuring all stakeholder input is captured, and deals follow an organized and standardized process. They will work closely with the Rev Ops leadership, operations, legal and sales teams to work on unprofitable contracts each month to drive better understanding of contracts and which levers to pull to drive predictable and profitable revenue. Success in this role requires direct, high-touch, and initiative-taking engagement with multiple departments and levels of the organization. Effective communication coupled with excellent organizational skills are required. Understanding of contractual terms and lingo is necessary. Being able to build rapport and drive collaboration through multiple stakeholders is non-negotiable. The incumbent should have a passion for process and contract excellence and enjoy working with a variety of stakeholders. Responsibilities + Proposal Coordination and Development: The Bid and Proposals Manager owns and drives the deal desk processes to deliver crisp, robust proposals to customers and prospects on-time. They bring all teams together to align on strategy and approach to each proposal, compile assets and ensure accuracy in each proposal submission. + Deal Desk Leadership: The Bid and Proposals Manager drives the deal desk process for their respective territories and stakeholders from request through submission through contract implementation. + Contract Analysis, Review, and Management : The Bid and Proposal Manager proactively engages with cross-functional stakeholders, particularly Legal, to review existing contracts for understanding and adherence to USIC preferred terms and conditions, supporting teams to build and execute strategies for contract performance improvements. + Own and drive the bid and proposal process, collaborating with critical stakeholders across the enterprise to deliver on-time, complete, and polished proposals to customers. + Coordinate stakeholder engagement, feedback, and meetings to drive deals through the deal desk processes, from local to executive approval. + Achieve objectives through deep coordination with the Rev Ops, Sales, Operations, Legal, Finance, HR, IT, and other support teams to ensure timeliness and accuracy when a proposal is created, pricing is completed, contracts are established, and job setup begins. + Liaison between Rev Ops teams (Data & Analytics, Technology, Program Management, Customer Success, etc.) to drive contract understanding, implementation and adherence throughout the organization when contract are won or renewed. + Develop, prepare, and administers contracts, bids, and proposals that meet specifications and comply with all policies and regulations. + Be knowledgeable and understand the applicability of all necessary and up-to-date tools and information required to efficiently submit proposals and contracts. + Maintain proper filing and archiving of customer information and contracts in appropriate systems and tools. + Work closely with Operations and Rev Ops teams to review, analyze, and understand gaps in existing contracts to find opportunities for contractual improvements and operational goals that drive the Company’s financial objectives. + Maintain fidelity of proposals and contracts storage in appropriate tools and systems. + When applicable, maintain and update contract lifecycle management (CLM) platform. + Support maintenance of proposal template library and assets. + Work closely with Deal Desk to ensure the pipeline of proposals is running smoothly and the cross-functional connection between teams is operating optimally. Coordinate contract language review with Legal and cross-functional stakeholders. + Compile and prepare polished and professional artifacts for customer proposals, ensuring process and approval adherence, resulting on on-time proposal submissions. + Coordinate with Data & Analytics teams to provide regular performance reporting on the contract data, up to and including deriving relevant insights on the number of iterations contracts undergo. Requirements + BA / BS degree preferred. + 5+ years’ experience preferred. + 10% travel required. + Expert communication skills. Demonstrated ability to communicate effectively and achieve collaborative solutions. + High level of business and contract acumen. + Proficiency in Microsoft tools such as Word, Excel, Visio, PowerPoint. Proficiency with Adobe. + Expert level organizational skills. + High degree of diligence with focus on accuracy. + Ability to work independently and collaboratively with variety of stakeholders, teams, customers, and personalities. + Ability be creative and analytical with excellent critical thinking skills. + Self-motivated, driven collaborator, exceptional interpersonal and communication skills, and demonstrated ability to take ownership. + Resourceful, ability to self-manage, high sense of accountability.
