The Manager, Programs is responsible for managing the Graduate Clinical programs inclusive of the Doctor of Nursing Practice and Masters of Nursing Programs. This position works under the supervision of the Associate Dean for Graduate Clinical Programs and involves high levels of interaction and collaboration with students, faculty, administration and staff at the School of Nursing and Health Studies and throughout operational offices at the University; manages daily operations, monitors programmatic matters, allocated budgets and coordinates special projects and events. Compensation Grade: A8 Primary Duties and Responsibilities: + Manages and oversees the overall day-to-day operations of the Office of the Associate Dean for Graduate Clinical Programs to effect delivery of Graduate Clinical Programs objectives + Provides administrative support to the Associate Dean for Graduate Clinical programs, including but not limited to scheduling meetings with students, faculty, administrators and community partners, preparing correspondence for same and monitoring and following up with appropriate individuals as needed on behalf of the Associate Dean; + Serve as primary programs representative for the Associate Dean for Graduate Clinical Programs in communication with programs faculty, staff students, and community partners. + Contributes ideas and viewpoints to department leadership, ie. Associate Dean and Program Directors, on operational plans and assists in Program policy management and implementation facilitating smooth process and ensuring effective and efficient workflow. + Collaborate with the Associate Dean to prepare agenda items for faculty meetings or other meetings as appropriate. + Proactively handle requests and concerns from faculty, students, and staff and bring to the attention of the Associate Dean for information or action. + Assist the Associate Dean with proofreading of documents to ensure accuracy. + Acts as the primary liaison between Associate Dean, program directors, faculty and students to maintain communication between program needs. + Act as the liaison between the office of student services and the different programs to ensure graduate students receive accurate information; serves as a primary information resource regarding Graduate and DNP program policies, and procedures.• Responsible for scheduling and staffing meetings of the faculty of the MSN-DNP program, the MSN programs, maintaining meeting minutes and processing items approved through the various School committees as appropriate, before distributing same to the School Council for final action. + Responsible for scheduling and staffing meetings of the School's Graduate Faculty Committee + (including Graduate Curriculum Committee), including preparing agendas, maintaining meeting minutes and processing items approved by the Committees to the School Council for final action. + Assist the Associate Dean in tracking assignments or projects pending completion by faculty or staff. + Event management both small and large scale, for example, DNP orientation, arranging faculty guest lecture visits, DNP poster event conception to execution: including vendor, staff, student supervision and delegation, site selection and coordination, parking, travel planning, etc. + Responsible for development and management of DNP and Masters programs scheduling class and exam matrix; distributes to academic affairs, student services and administration team. + Oversee the maintenance of information technology, i.e. multiple databases and files, essential resource and background files and materials Including, but not limited to syllabi, course schedules, exam schedules, comp exams, and related information. + Works with School's Student Services team, faculty and Associate Dean In ensuring a smooth process for student applicant interviews and assists in securing faculty availability for interviews. + Provides administrative support to the program evaluation process; assists with both pre- and post- evaluation activities for students enrolled in the graduate clinical programs. + Responsible for the revision of graduate student handbooks, the graduate academic bulletin and other administrative policies. + Responsible for updating and processing course additions, edits and cancelations, working closely with the office of the Registrar's and the Graduate School. + Administrative program support activities for graduate clinical programs including: + Process travel forms for the Associate Dean + Identifies problems and initiates appropriate follow-up/action as necessary. + Acts as back up to manager for business operations for reservation of meeting/conference rooms within the School. + Ensures exceptional customer service and the accurate and timely delivery of assignments. + Performs other duties as assigned. Knowledge, Skills, and Abilities: + Must be self-directed, demonstrate initiative, sound judgment and discretion; and possess strong work ethic. + Strong knowledge of university operations + Ability to read and decipher data on source documents and make sound business decisions based on said information. + Advanced skills in database management systems and Microsoft Office applications + Possess excellent written and verbal communication skills and deliver excellent customer service + Maintain a high level of confidentiality + Must possess excellent organizational abilities, high level of detail and follow through, and excellent time management skills. Education: Bachelor's degree in Business Administration, Healthcare Administration or other related field required.
