PurposePosition oversees a team of administrative professionals and ensures the efficient operation of all business functions within the unit. This role is split between leadership responsibilities for administrative staff and handling high-level administrative tasks focused on large, complex purchase orders, business contracts, and problem-solving for internal and external stakeholders.
ResponsibilitiesTeam Leadership & Staff Supervision:
Lead, supervise, and mentor a team of administrative staff to ensure optimal performance and professional growth.Manage day-to-day team operations, including time and task management, performance evaluations, and coaching. Set performance goals, and address performance-related issues.Ensure smooth and efficient execution of business functions such as travel, purchasing, event coordination, and entertainment expenses.Coordinate, oversee, and document departmental processes to ensure compliance with policies and efficiency in operations.Act as the primary point of contact for administrative staff regarding questions, guidance, and issue resolution.Identify opportunities for improving administrative processes and implement solutions to enhance efficiency.Foster a positive, collaborative, and productive team environment.High-Level Administrative, Purchasing & Contract Management:
Manage complex purchase orders, business contracts, and higher-level administrative tasks.Serve as the primary contact for troubleshooting and resolving issues related to administrative processes, contracts, and purchasing.Oversee the development, negotiation, and execution of business contracts, ensuring all legal, financial, and compliance aspects are met.Ensure accurate documentation, tracking, and reporting of business expenses, purchases, and contracts.Collaborate with internal and external stakeholders to provide problem-solving support for a variety of administrative and operational challenges.Provide high-level administrative support to senior management as needed, including scheduling, coordination, and special project management. Required Qualifications Bachelor’s degree and three years of professional administrative experience, or high school graduation or GED and seven years of professional administrative experienceDemonstrated experience in administrative roles within an organization, showing a progression of responsibilities over timeStrong working knowledge of Microsoft Office SuiteExcellent time management, project, and planning skillsExcellent organization and decision-making skillsExcellent written and verbal communication skillsAbility to prioritize work and work of othersCapacity to manage and balance set of responsibilities effectively
Relevant education and experience may be substituted as appropriate.
$80,000 + depending on qualification
